We're Hiring: Executive Assistant, Finance & Sales Support

ParkLaine Ltd is looking for a highly organised, proactive and commercially minded Executive Assistant, Finance & Sales Support professional to join our growing team.

About the Role

This is a varied and fast-paced position combining executive support, finance administration and sales coordination.

You will work closely with our senior leadership team and play an important role in the day-to-day running of the business, supporting financial management, sales activity, client relationships and business development.

This role would suit someone who enjoys taking ownership, working across different areas of a business and making sure things get done accurately and efficiently.

Key Responsibilities

  • Provide high-level administrative support to senior management, including diary management, correspondence, travel arrangements and meeting preparation
  • Support day-to-day finance administration and management reporting
  • Maintain accurate financial records and provide financial information to senior management
  • Process and manage purchase invoices, sales invoices, supplier accounts, payments and reconciliations
  • Assist with cash-flow monitoring, aged debtors and creditor reporting
  • Support project financial reporting, budgeting, cost control and profitability tracking
  • Liaise with accountants, suppliers, customers and internal teams on financial matters
  • Assist the sales and business development team with proposals, presentations, quotations and client follow-ups
  • Maintain and update our CRM system, ensuring opportunities, contacts and activities are accurately recorded
  • Prepare reports, presentations, meeting notes and other business documentation
  • Help track sales opportunities, pipeline activity and key performance information
  • Coordinate communication between departments to ensure priorities and actions are progressed
  • Take ownership of tasks and help keep the business organised and moving forward

Essential Experience & Qualifications

Candidates must have previous finance/accounting experience and a recognised finance or accounting qualification.

We are looking for someone with:

  • A recognised accounting or bookkeeping qualification, such as AAT or equivalent
  • Proven experience working within a finance, accounts or bookkeeping role
  • A strong understanding of purchase ledger, sales ledger, bank reconciliations and financial reporting
  • Experience using accounting software, with Xero experience highly advantageous
  • Strong Microsoft Excel, Word, Outlook and PowerPoint skills
  • Previous experience within an Executive Assistant, Personal Assistant, Finance Assistant, Accounts Assistant, Sales Support or similar role
  • Excellent organisational skills and attention to detail
  • Strong written and verbal communication skills
  • A proactive, resourceful and solution-focused approach
  • The ability to work independently and manage multiple priorities
  • The ability to handle confidential and commercially sensitive information
  • A professional, reliable and commercially aware mindset
