We are seeking an experienced Service Coordinator to support the Electrical & Fire Service Manager in the effective day-to-day coordination of engineering service operations. This role sits at the centre of a busy service environment, responsible for scheduling engineers, managing job flow, processing purchase orders, and ensuring clients receive accurate and timely updates and reporting. You will play a key role in maintaining efficient, structured, and compliant service delivery across both planned preventative maintenance and reactive works.

Key Responsibilities

  • Scheduling & Coordination
    • Schedule and coordinate Electrical and Fire Service Engineers across planned and reactive works
    • Allocate and prioritise jobs based on SLA requirements, urgency, and engineer availability
    • Maintain accurate and up-to-date engineer diaries and job schedules
    • Respond to operational changes and reallocate work where required
  • Purchase Orders & Job Management
    • Raise, track, and chase purchase orders from clients
    • Ensure completed works are correctly matched for invoicing purposes
    • Maintain accurate job records and service documentation
    • Manage the full job lifecycle from allocation through to completion and billing readiness
  • Reporting & Documentation
    • Produce client service reports and job summaries as required
    • Maintain accurate compliance and service documentation
    • Ensure all records are updated accurately and in a timely manner
    • Support operational reporting requirements for management and clients
  • Client & Engineer Liaison
    • Act as a key point of contact for client service queries and updates
    • Communicate engineer attendance, progress, and completion information
    • Build and maintain strong relationships with FM teams, site contacts, and clients
    • Ensure clear and professional communication across all service activity
  • Operational Support
    • Work closely with the Electrical & Fire Service Manager to support daily operations
    • Assist in workload planning and prioritisation
    • Contribute to improving coordination processes and workflow efficiency
    • Support consistent delivery of service levels and response times

About You

We are looking for someone who has:

  • Experience in service coordination, scheduling, or FM/M&E administration
  • Background in engineering, facilities management, electrical, fire, HVAC, or building services environments
  • Strong organisational skills with the ability to manage multiple priorities
  • Confident communication skills when dealing with engineers and clients
  • Experience with purchase orders, job tracking, and service documentation
  • Ability to work effectively in a fast-paced, reactive environment

Desirable Experience

  • CAFM or job management systems such as Simpro, Joblogic, BigChange, or Concept
  • Experience in PPM and reactive maintenance environments
  • Previous exposure to technical service or operations teams
