The Executive Assistant serves as a trusted administrative partner to the General Manager and the Division Leadership Team. The role is responsible for anticipating needs, managing priorities, improving administrative workflows, and enabling leadership to focus on strategic business objectives. Success in this position requires strong attention to detail, proactive problem‑solving, and the ability to operate effectively in a fast‑paced, professional environment.
Responsibilities
- Manage complex executive calendars, including scheduling, prioritisation, and coordination of internal and external meetings.
- Prepare agendas, meeting materials, presentations, reports, and follow‑up documentation.
- Screen and prioritise communications, correspondence, and requests on behalf of executive leadership.
- Handle confidential and sensitive information with a high degree of professionalism and discretion.
- Coordinate leadership meetings, business reviews, customer visits, and cross‑functional events.
- Arrange meeting logistics, including room reservations, technology support, catering, visitor coordination, and materials preparation.
- Record meeting notes, track action items and follow up with stakeholders as needed.
- Arrange domestic and international travel, including flights, lodging, transportation, visas, and itineraries.
- Prepare and process expense reports accurately and in accordance with company policy.
- Maintain organised records, files, contacts, and administrative systems.
- Support purchase requisitions, invoice processing, office supply coordination, and other business administration tasks.
- Serve as a professional point of contact for internal teams, customers, suppliers, and external partners.
- Draft, edit, and proofread correspondence, announcements, presentations, and other business materials.
- Support special projects, reporting activities, and executive initiatives as assigned.
Qualifications
- Degree qualified or equivalent.
- Experience supporting executives in a manufacturing, engineering, aerospace, industrial, or global business environment is essential.
- Familiarity with enterprise systems such as ERP, expense reporting, purchasing, or document management platforms.
- Experience coordinating executive‑level meetings, customer visits, and cross‑functional business reviews is required.
- Demonstrated ability to improve administrative processes and implement efficient work practices.
- Professional Integrity: Maintains confidentiality and demonstrates ethical judgment in all interactions.
- Planning and Organisation: Prioritises effectively, manages time efficiently, and executes with accuracy.
