We are looking for an Onboarding Assistant to join our Wills, Probate and Estate Planning team. Due to the nature of this role in assisting the department as a whole, we can be flexible on office location.

The role will consist of the following duties:

  • Primarily responsible for dealing with new client enquiries and onboarding to include making appointments, setting up files, dealing with initial compliance matters/ID checks and ensuring that clients get a consistent and excellent level of service when making enquiries or giving us new instructions;
  • Answering new telephone and email enquiries for all offices;
  • Acting as the first port of call for the Wills, Probate and Estate Planning team and meeting with walk-in prospective clients at the respective office;
  • Diarising meetings for Legal Professionals;
  • Using Partner for opening files and new matters;
  • Compliance tasks, to include creating and reviewing Legals and uploading to Partner, unlocking and resurrecting files, completing file opening checklists to make sure files are being opened correctly and are fully compliant with our firm-wide Compliance procedures;
  • General administrative support including assisting with Will searches or collections at the respective office and writing letters/posting documents to clients.

The candidate will have the following skills:

  • Excellent communication with clients and colleagues both over the telephone and by email;
  • Good organisational skills, managing initial client appointments and ensuring Legal Professionals are forwarded all relevant information;
  • Attention to detail to ensure all client information is accurately recorded and all compliance requirements are completed;
  • Due to the large number of enquiries and new clients, efficiency is essential;
  • A willingness to learn and understand Private Client legal matters and compliance requirements to ensure you can deal with initial client enquiries effectively.
