Due to unforeseen circumstances, we are re-advertising for a Patient Services Administrator to work as part of our excellent and well-established team at Park Practice. Both part-time and full-time applications will be considered; part-time applicants will need to advise on their application what hours they are looking for or we will assume that they are applying for a full-time position.
The right person/people will have the skills and ability to work in a busy and demanding environment, with excellent communication and interpersonal skills. The majority of the work will be telephone-based, which will require the successful applicant to deal with high call volumes whilst maintaining a professional and caring manner. The ideal candidate will have comprehensive IT knowledge and at least 2 years experience in a Receptionist / Customer Service role. Experience of working in a GP practice or a medical environment would be an advantage but most importantly, we are looking for enthusiasm and the ability to project a positive and friendly image to patients and visitors at the practice.
Main duties of the job
Your role as a Patient Services Administrator will require you to be the face of the practice. You will work in a very fast-paced environment and the role will include:
- Answering the telephones
- Manning the reception desk
- Processing prescriptions
- Dealing with queries or carrying out administrative tasks
Key responsibilities include:
- Answering/forwarding incoming calls
- Handling and answering enquiries accurately and completely without dispensing advice, breaching patient confidentiality or making medical judgements
- Effectively care-navigate to book appointments for patients in accordance with the practice triage system
- Dealing with patient queries
- Checking patients in for appointments
- Dealing with payments from patients
- Processing prescriptions and dealing with prescription queries
- Be aware of and abide by practice protocols and policies
- Verify new patient registrations
- Book recalls as advised by clinical staff
- Keep reception area clean and tidy

We are a friendly and busy training practice delivering care at our modern, purpose-built premises in Eastbourne. The ideal candidate will have comprehensive IT knowledge and at least 2 years experience in a Receptionist / Customer Service role. Experience of working in a GP practice or a medical environment would be an advantage but most importantly, we are looking for enthusiasm and the ability to project a positive and friendly image to patients and visitors at the practice.
Starting salary for this role will be:
- £12.21 per hour for applicants aged 21 and above
- £10.00 per hour for applicants aged 18-20
Various hours would need to be covered by the successful applicant between 8am and 6.30pm Monday to Friday. We also open 6.00pm-8.00pm on a Monday and Wednesday. The successful applicant will be expected to work one of these evenings as part of their contracted hours.

Person Specification
Experience:
- Minimum 2 years of Receptionist/Customer Service experience
- Practical experience of working with others
- Experience of using own initiative
- Experience of working within a General Practice Office environment
- Practical experience of liaising with other Healthcare Professionals, Primary Care Trusts, Patients, Solicitors and other external organisations
- Practical experience of computerised recording systems
