We are seeking a detail-oriented and proactive Program Specialist to join our dynamic Medical Communications team. In this role, you will coordinate and deliver complex healthcare communication projects, working cross-functionally with scientific, editorial, and client services teams to ensure successful project outcomes.

Key Role Responsibilities:

  • Project Planning & Setup
  • Collaborate with Senior Program Specialists, Account Managers, and Scientific Services to define project scope and requirements
  • Create comprehensive project plans, delivery schedules, and assist with metrics and risk management
  • Establish communication protocols and client approval processes
  • Set up appropriate project tracking systems and folder structures
  • Initiate and lead project kick-off meetings
  • Project Execution & Management
  • Manage assigned projects according to agreed internal and client processes
  • Serve as the key point of contact for project status updates to clients, faculty, and internal teams
  • Coordinate cross-functional project teams and lead regular progress meetings
  • Draft and circulate meeting minutes and action points, ensuring follow-up on deliverables
  • Maintain detailed awareness of project status to respond appropriately to stakeholder inquiries
  • Budget & Resource Management
  • Monitor project budgets and delivery timelines, addressing variances proactively
  • Support resource planning and staffing requirements
  • Monitor freelance resource progress in collaboration with Scientific Team Leads
  • Identify scope changes, assess cost implications, and communicate to management

Experience and Skills required for the role:

  • Bachelor\’s degree in Business or Life Sciences preferred
  • A few years\’ experience in medical communications
  • Experience working with publications within oncology – must
  • Understanding of healthcare industry regulations (EACCME/ACCME/FDA/AMA)
  • Knowledge of publication guidelines and processes
  • Strong project management expertise with ability to deliver on time and within budget
  • Excellent organizational skills with attention to detail
  • Outstanding interpersonal and communication skills (both written and verbal)
  • Advanced proficiency in Microsoft Office suite (Word, PowerPoint, Excel)
  • Proactive approach to problem-solving
  • Fluent in English, written and spoken
