The role

We’re hiring a Shipping & Logistics Coordinator to take ownership of our outbound shipping function. This is a maternity cover position starting in early August 2026, with a clear view to a permanent role as the business grows. You’ll take each project from the point of fulfilment completion through to shipping and installation. Once the warehouse team has prepared an order, you will then manage the rest of the process. This includes but is not limited to, quoting, booking, customs, tracking, delivery and install coordination. You’ll work closely with the warehouse, projects, and sales teams, and become our internal expert on getting equipment from our facility to clients across the world - including superyachts in active service, high-end residences, and five-star hotels.

What you’ll own

  • Shipping & logistics (primary)
    • Requoting shipping costs against sales quotes and protecting project margin
    • Creating shipping documentation (pallet labels, commercial invoices, customs paperwork)
    • Planning collections and deliveries around warehouse capacity
    • Daily tracking and courier management
    • Customs clearance actioned promptly to avoid delivery delays
    • Liaising with clients, shipyards, and shipment receivers
    • Managing shipping invoice disputes
    • Coordinating third-party shipping partners (K&N, DHL, etc.)
    • Resolving damage issues arising from transit
    • Raising shipping POs and reporting on shipping spend
  • Installation coordination
    • Picking up the project once shipment has arrived for consolidation at our warehouse and seeing it through to a successful install
    • Prep work for the install team: install details, site reports, access info (stairs, doorway height, crane usage, power)
    • Coordinating with shipyards and on-site teams in the lead up to the install and on the day
    • Sending site reports to clients to close the project out
    • Scope grows over time as you build confidence with our install process
  • Warehouse (shared with the ops team)
    • Items in and out, storage control, and packing list preparation
    • Managing packaging stock and reorder levels
    • Keeping the warehouse manager occupied with tasks alongside the ops team
  • Wider ops support
    • Sample shipping and showcase/event logistics
    • Shipping quotes for the sales team
    • Stepping in to cover wider ops tasks when colleagues are on leave

You’ll be a fit if you have

  • Hands on experience with international shipping, freight forwarding and export logistics
  • Confidence working across courier portals (DHL, FedEx, K&N etc.) and customs paperwork
  • Strong admin discipline and high attention to detail, our paperwork is sent to shipyards and luxury homes, so mistakes are visible
  • The temperament to chase suppliers and own problems through to resolution
  • A commercial head: you understand every quote and invoice has a margin behind it
  • The judgement to work independently and step up when the team is stretched

Nice to have

  • Experience shipping into the marine/superyacht sector or luxury hospitality
  • Familiarity with Podio, Zigaflow, or similar ops/CRM systems
  • Working knowledge of Slack, Google Sheets, and Excel
