We are seeking a highly organised, proactive, and resilient PA/EA to provide comprehensive administrative and secretarial support. The ideal candidate will act as a trusted partner, managing day-to-day operations seamlessly in a fast-paced environment.
Key Responsibilities
- Proactively manage multiple complex diaries across various global time zones.
- Anticipate scheduling conflicts and use initiative to resolve them efficiently.
- Prioritise meeting requests to ensure the best possible use of executive time.
- Coordinate extensive domestic and international travel, including multi-stop itineraries.
- Manage visa applications, passport renewals, and travel documentation.
- Adhere strictly to the firm’s travel policy while ensuring executive comfort.
- Process and reconcile all expenses accurately.
- Ensure full compliance with the internal corporate expense policy.
- Track and submit invoices and corporate credit card statements.
- Provide timely and accurate telephone answering, filtering calls and taking detailed messages.
- Build strong working relationships with internal key partners and external clients.
- Collate, print, bind, and distribute vital meeting documents and presentations.
- Plan and execute occasional corporate events, dinners, and team-building activities.
