An opportunity has arisen for a highly organised and proactive Team Assistant to support a busy Reward function. This role involves providing administrative and operational support to up to five senior functional leads across areas such as compensation, benefits, and mobility. The position requires strong multitasking skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Key Responsibilities
- Manage complex and busy diaries for multiple senior stakeholders, resolving conflicts and coordinating schedules.
- Liaise with internal teams, external partners, and stakeholders to arrange meetings and logistics.
- Organise meeting rooms, video conferencing, and presentation materials.
- Handle incoming calls and messages, ensuring timely and accurate communication.
- Provide reception-style support when required, acting as a first point of contact.
- Coordinate team meetings, including agendas, minutes, and follow-up actions.
- Manage visitor arrangements, including registration and on-site coordination.
- Arrange domestic and international travel, including itineraries and logistics.
- Process expenses accurately and in line with company policies.
- Assist with presentation creation, formatting, and document preparation.
- Support onboarding processes, including system access, equipment, and desk setup.
- Raise and manage IT support tickets.
- Coordinate team logistics such as desk allocation and flexible working arrangements.
- Support finance-related tasks, including invoice processing.
- Manage incoming and outgoing mail and courier services.
