A leading global financial services organisation is seeking a highly motivated Administrative Assistant to join its Human Capital Management division. This role provides dedicated support to Managing Directors and senior leaders within a fast-paced, high-performance corporate environment. The position requires exceptional organisational ability, strong judgement, and the confidence to manage competing priorities while maintaining professionalism and discretion at all times.
Key Responsibilities
- Providing comprehensive administrative support to senior leadership within Human Capital Management
- Managing complex and constantly changing calendars, anticipating scheduling conflicts and prioritising effectively
- Coordinating senior-level internal and external meetings, ensuring seamless logistics
- Handling high volumes of calls with professionalism and urgency
- Organising domestic and international travel, including itineraries and expense processing
- Onboarding new hires and contingent workers, coordinating systems and technology access
- Booking meeting rooms and event spaces, managing all logistical arrangements
- Ensuring accurate updates to reporting lines and team alignments across internal systems
- Ordering and maintaining office supplies and inventory
- Acting as a proactive and integral member of the wider team, maintaining awareness of evolving priorities
Candidate Profile
- Minimum 3 years’ administrative experience, ideally within financial services or a corporate environment
- Proven experience supporting senior executives
- Exceptional organisational and prioritisation skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Advanced proficiency in MS Outlook and Word
- Working knowledge of Excel, PowerPoint, Concur and Zoom
- Ability to manage confidential and sensitive information with discretion
- Self-starter with strong problem-solving ability and proactive approach
- Comfortable working with stakeholders at all levels of seniority
- Able to remain calm and effective under pressure
