An established alternative investment manager specialising in discretionary global macro strategies is seeking a proactive and highly organised individual to join its growing team as a Front of House & Administrator. This role is responsible for the day-to-day management of front-of-house operations while also providing administrative, executive, and office support across the wider business. The position offers clear scope for professional growth and development over time.
The ideal candidate will have a strong administrative background, a positive and professional approach, and a desire to build a long-term career within a dynamic environment. Experience within financial services is desirable but not essential.
Front of House Responsibilities:- Providing a warm, professional welcome to all investors and guests
- Ensuring meeting rooms are prepared, presentable, and stocked with refreshments
- Managing the meeting room booking system and acting as the primary point of contact for meeting coordination
- Organising AV set-up, catering (breakfasts, lunches), and other meeting requirements to ensure a seamless experience
- Maintaining the cleanliness and presentation of reception and meeting room areas
- Acting as the main point of contact for all incoming calls
- Providing support and cover for the Executive Assistant
- Delivering day-to-day administrative support across Legal, Compliance, Finance, IT, and HR functions as required
- Scheduling meetings, calls, and interviews
- Providing diary and travel support, including restaurant and taxi bookings
- Supporting the run of office facilities, including kitchen and pantry management
- Tracking stock levels of stationery and supplies
- Maintaining coffee machines and shared office areas
- Sorting and distributing post and coordinating couriers
- Preparing and processing expenses
- Setting up and maintaining employee training records
- Completing ad-hoc administrative tasks such as scanning, printing, filing, document preparation, and note taking
- Supporting ad-hoc projects, including firm events
- Acting as the office First Aider
- 1–2 years’ experience as a receptionist and/or office administrator
- Highly organised, proactive, and efficient with strong diary management skills
- Excellent problem-solving abilities with strong attention to detail
- Willing to take initiative and think creatively
- Strong interpersonal skills with the ability to communicate effectively at all levels
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Comfortable working independently, including being based at a reception desk away from the main office space
- Reliable, discreet, and trustworthy
