Role Summary
We are seeking an experienced Executive Assistant to provide high-level administrative support to a senior leadership team within their Investment Banking division. This role will support 2 Managing Directors and a broader team. The successful candidate will be a key point of contact and ensure smooth day-to-day operations in a fast-paced, client-facing environment.
Hours 9am – 5pm (with some flexibility from time to time)
Hybrid: 4 days in office/ one day working from home
Salary up to £60K max + co. bens to include 25 days hols, discretionary bonus, private medical cover and pension
Key Responsibilities
- Manage complex diaries across international time zones, coordinating meetings, calls, and events using Outlook, Zoom, and Teams.
- Organise extensive international and domestic travel, including flights, hotels, ground transport, visas, travel documents, and itineraries, with a focus on cost-effectiveness and accuracy.
- Arrange and support corporate hospitality and client entertainment, ensuring internal approvals and compliance procedures are followed.
- Prepare and process expense claims for the team using internal systems, ensuring accuracy in coding and supporting documentation.
- Provide professional telephone coverage, message-taking, and call screening.
- Maintain and update CRM systems regularly with client and contact data.
- Format and amend PowerPoint, Word, and Excel documents, including overseeing printing and binding where needed.
- Undertake ad hoc administrative duties and assist with personal tasks as required.
- Handle sensitive and confidential information with discretion.
- Provide cover for other assistants during absence or peak periods.
Required Qualifications & Experience
- Minimum of 5 years’ experience in a similar Executive Assistant role within a corporate or financial services environment.
- Excellent written and spoken English.
- Calm, composed, and able to perform effectively under pressure.
- Strong time management, able to prioritise and manage multiple tasks in a fast-paced environment.
- Proactive diary management, with an ability to anticipate scheduling conflicts and changes.
- Confident organising complex travel, often at short notice, and across multiple destinations.
- Self-starter, collaborative team player, and highly dependable.
- High attention to detail with excellent communication skills.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
