About the Role

We are a Platinum Investors in People employer and an award‑winning UK bank focused on growth. We need an experienced Workshop Administrator to support our vehicle workshop, ensuring smooth operations, compliance and excellent customer service.

Main Purpose of Job

As part of a team, you will handle all administrative duties required to keep the workshop running smoothly and maintain vehicle fleet compliance at all times.

Responsibilities

  • Accurate and timely entry of jobs on Fleetwave to align with workshop activities.
  • Control bookings and jobs for the CTS fleet, ensuring daily, weekly and annual checks and tests are carried out in line with Group policy and legislative requirements, including MOT, LOLER, TACHO, RFL and safety inspections.
  • Manage MOT bookings to secure slots for the CTS business and facilitate cancellations where required.
  • Obtain prices, order parts for vehicle repairs and complete all associated administration in accordance with company procedures, ensuring parts are received and the workshop informed. Enable returns and chase credit for returned items.
  • Validate parts requests for warranty and support the warranty claim through to completion.
  • Inform internal and external customers of vehicle damage recharges in a timely manner and liaise for approval to commence repairs, maintaining appropriate records.
  • Enter and keep jobs updated in the fleet management system so data is held in real time.
  • Manage assigned KPIs and act accordingly.
  • Provide the highest possible standard of customer satisfaction by building effective professional relationships with customers, suppliers and colleagues, gaining a detailed understanding of operational requirements.
  • Support technician clock‑in and work allocation when required.
  • Ensure company vans have completed vehicle check sheets aligned to company policies and complete check sheets for any journey in a company van, managing the fuel card where applicable.
  • Manage site reception and visitors, aligning to company and site health & safety requirements.
  • Be the first point of contact for all telephone calls, redirecting enquiries as appropriate.
  • Assist with the resolution of invoice queries allocated to you via the query process.
  • Participate in ad‑hoc projects and other duties as required.

Essential Skills

  • Extremely proficient in MS Office Suite.
  • Confident and effective communication skills.
  • Organised and detail conscious.
  • Experience operating within a similar environment, or at minimum a relevant background.
  • Customer‑service skills and the ability to work independently while being a team player.
  • Good interpersonal skills.
  • Proven track record of problem solving.

Desirable Skills

  • Full driving licence.
  • Experience working in a vehicle workshop environment.
  • Previous experience with a fleet management system.
  • Experience operating in a busy office environment, managing changing expectations and responding positively.

Working Hours

42.5 hours per week, Monday to Friday – onsite role.
