We are now looking for a motivated and customer focused Lettings, Allocations & Viewings Officer to join our team on a part-time basis. This is a rewarding role where you will help customers move into their new homes, support tenancy sustainment and play a key part in reducing void rent loss across our organisation.
About the Role
As a Lettings, Allocations and Viewings Officer, you will manage the full lettings journey for both relet and new build homes. You will complete pre-tenancy assessments, arrange viewings, carry out tenancy sign ups and ensure all lettings are completed accurately, safely and in line with our policies and standards.
You will work closely with colleagues across Customer Services, Neighbourhoods, Tenancy Sustainment and Support, Voids Repairs, Development, Local Authorities and a wide range of partner agencies. You will also take handover of new build homes and support customers with housing advice and signposting.
This is a varied, fast paced role that requires strong communication skills, attention to detail and a passion for delivering excellent customer service.
Key Responsibilities:
- Manage the full lettings process for relet and new build homes
- Complete pre-tenancy assessments and identify support needs or risks
- Arrange and carry out property viewings and tenancy sign ups
- Ensure all tenancy agreements, CORE data and sign up documents are completed accurately
- Advertise and market void properties through Local Authority systems, Choice Based Lettings, Homeswapper and estate agents
- Work closely with the Void Team to ensure properties meet our lettings standard and legal compliance requirements
- Apply reasonable adjustments for customers with disabilities or additional needs
- Liaise with external agencies including social services, Police and support organisations
- Support customers with housing advice, signposting and tenancy sustainment
- Manage decants, management moves and priority moves
- Attend site visits, scheme briefings and post-occupation reviews
- Take handover of new build homes from Development after Asset Management sign off
- Ensure all customer communication is clear, accessible and in line with our house style
- Provide cover across regional areas and support colleagues during absences
- Occasionally work outside normal hours to meet customer or business needs
What We're Looking For
Must haves:
- Full driving licence and access to a vehicle for business use
- Experience working within local authority lettings, allocations or housing functions
- Excellent customer service skills with a willingness to go the extra mile
- Strong communication and negotiation skills
- Ability to assess affordability and understand welfare benefits
- Knowledge of succession, mutual exchange and decant processes
- Ability to interpret tenancy and legal information
- Confident working with financial data and negotiating payments
- Strong planning, organisation and attention to detail
- High level of IT literacy, including Microsoft Word and Excel
- Ability to work independently and as part of a team
- A positive, can do attitude and a common sense approach
- Flexibility to travel for viewings and sign ups
Nice to haves:
- Knowledge of different property tenures such as shared ownership, leasehold and assured tenancies
- Technical or professional qualification in housing or property
- Experience working in social housing lettings
