About the role/team

We’re looking for a highly organised and proactive Repairs Admin Support Assistant to join our Repairs team. You’ll play a vital role in supporting the delivery of damp, mould, and emergency hazard repairs in line with Awaab’s Law. From opening and closing cases to maintaining accurate records, raising purchase orders, and supporting scheduling, you’ll help ensure our residents receive timely, compliant, and well‑communicated repairs. You’ll work closely with Repairs Coordinators, Inspectors, Supervisors, and Customer Services to keep everything running smoothly.

Key Responsibilities

  • Open and close damp, mould, and emergency hazard cases in line with Awaab’s Law
  • Maintain accurate case records and update internal systems in real time
  • Track case progress and flag unresolved issues to Repairs Coordinators
  • Support scheduling, documentation, and resident communications
  • Assist with coordinating repair works and follow‑on appointments
  • Maintain shared inboxes and respond to routine enquiries within SLA
  • Take accurate meeting minutes and manage follow‑up actions
  • Raise purchase orders and variations in line with procedures
  • Liaise with suppliers and contractors for order updates
  • Generate basic reports on case volumes and closure rates
  • Ensure compliance with data protection and record‑keeping standards
  • Provide cross‑team support across reactive, routine, and external works
  • Direct complex queries to the appropriate team member

What We’re Looking For

Must haves

  • Experience in administrative or customer service roles, ideally in property maintenance
  • Strong communication skills (verbal and written)
  • Excellent organisational and time‑management skills
  • Proficiency in Microsoft Office, Outlook, and service call logging systems
  • Attention to detail and a methodical approach to record‑keeping
  • Ability to take accurate meeting minutes and manage follow‑up actions
