The predicted salary is between 36000 - 60000 Β£ per year.

Pantheon is seeking a highly self-motivated candidate with excellent communications skills who can operate with professionalism and discretion.

The post holder will be a key individual in the Pantheon business working with the team and external suppliers to ensure that Pantheon is able to fulfil its role in acting for its international artists.

Key areas of responsibilities:

1. Registrar Responsibilities include but are not limited to:

o Initial uploading of existing artist inventory on the ArtLogic database and reconciliation of the artworks.

o Working with other team members in the UK and abroad to ensure completeness of Artist catalogue.

o Ongoing accurate management of physical inventory and ArtLogic database.

o Principle contact for external storage facilities and storage management.

o Responsibility for the organisation and administering condition reports as and when required and maintenance of these on ArtLogic.

o Responsible for care and maintenance (if needed) of artworks across all locations and liaising with restorers when needed.

o Ensuring that appropriate records are retained to support the VAT and other HMRC returns.

o Contracting – procuring quotes and contracts from framers, technicians and restorers for the purposes of exhibitions and sales management.

o Liaising with Marketing team on images and artwork details for publication across marketing materials.

2. Shipping and Logistics responsibilities include but are not limited to:

o Organise and handle both domestic and international shipments for the company, in charge of the

packing and transportation of sold and consigned artworks with particular emphasis on the

management of import and export of artworks from outside the UK.

o Oversee the organisation of framing of artwork.

o Organising photography of all artworks that are consigned to the gallery.

o Installing artworks for gallery shows and gallery viewing rooms, hiring external technicians if needed.

o Compile condition reports and update artworks details in the gallery database.

o Oversee logistics relating to of the storage of artwork internally, at local storage facility and other 3rd

party locations both in the UK and overseas.

o Manage detailed data entry on ArtLogic and administration pertaining to all shipping/logistical

activities.

o Liaise with shippers for quotes on general shipping and after sales shipping.

o Liaise with Insurance brokers to ensure adequate cover for artworks being shipped, in storage and in

transit.

o Managing and maintaining our Temporary Admission account with HMRC and shippers where TA is

used.

o Ensure HMRC regulations are strictly adhered to and liaising with accountants.

o Assisting with the client invoicing and monthly accounts alongside accountant.

3. Client liaison and General Gallery duties include but are not limited to:

o Being responsible for organising the framing, delivery and post-sale service with the client.

o Working with the team on the organisation of private views and events with partners.

o Assist with practical preparations for all events and activities.

o Responsible for producing/sharing/ filing certificates of authenticity post client sales.

o Exhibition co-ordination – responsible for the transportation and preparation of work for exhibition and for the cataloguing of works on arrival at the gallery.

o Liaising with the curator on gallery hangings and client viewings.

THE CANDIDATE:

A Registrar with over two years’ experience in a commercial gallery or auction house essential.

Knowledge and understanding of the contemporary art world.

A sound knowledge of customs procedures, temporary admissions, export licencing, customs handling, including customs documents, insurance, and liaising with shipping agents.

Understanding of the VAT margin scheme and financially aware.

Computer literate with good working knowledge of art and client databases and website content

management systems essential. Knowledge of ArtLogic is essential.

A track record of working in an environment where the client relationships are important to the success of the organisation.

Able to work in a pressurised environment which may include the occasional demands outside normal business hours due to the operations of the company.

PACKAGE:

Salary and bonus will depend on experience.

25 days holiday (excluding Bank Holidays)
