We are seeking a proactive, analytical and commercially focused Executive Assistant to be the essential partner to the Managing Director (MD) of Panavision Europe. This is a high-exposure, hands-on opportunity that requires confidence in managing upwards to ensure the MD's time and focus is always spent on the most important, strategic business matters. The successful candidate will provide vital administrative and business support, serving as the main point of contact for the Group Finance Director (FD) and the wider Senior Management Team. This is a full-time, on-site role based at our Camera Division Head Office in Greenford.
What you’ll do
- Proactively manage the MD's forward planning and priorities, to ensure optimal productivity and preparedness for all strategic commitments.
- Act as the primary administrative partner to the MD and Group FD, managing sensitive correspondence and key business needs with discretion.
- Serve as the first point of contact for all incoming calls and visitors for the senior leadership team.
- Manage and process expense reports for the MD and FD.
- Take full ownership of and proactively manage the MD's complex, global calendar, confidently challenging and restructuring priorities as needed to align with strategic business goals.
- Coordinate and manage all internal and external meetings (e.g., Board, Departmental, Industry), including arranging high-profile off-site events, catering, and corporate gifts.
- Produce accurate and confidential minutes for key meetings and drive the follow-up process to ensure all action points are met by the right people.
- Coordinate all travel logistics, including comprehensive hotel and transport, while supporting the itinerary creation with the MD.
- Prepare high-quality board decks and executive presentations on behalf of the MD.
- Utilise analytical skills to conduct project research, compile statistics, and create high-quality reports (including graphs, charts, and presentations) as requested by the MD and FD.
- Set up and maintain a secure digital archive of all Company legal, management, and compliance documents.
What you’ll bring
- Demonstrable experience as an Executive Assistant supporting senior leadership, ideally from a finance or sales background.
- Strong commercial awareness and engagement in the business, with a genuine interest in the operations and strategic goals of a global organisation.
- Experience or familiarity with the film, production, or entertainment industry is a distinct advantage.
- Proactive, self-motivated, and confident approach for managing upwards and working in a fast-paced environment.
- Exceptional organisational, project management, and problem-solving skills.
- Meticulous attention to detail and professional presentation in all written and verbal communication.
- Proven ability to discreetly handle confidential and commercially sensitive information across legal and financial contexts.
- Fully proficient in the MS Office suite (Excel, PowerPoint, Word) and highly capable of learning new IT applications quickly.
