Job Description

Your Career

Palo Alto Networks is seeking an Executive Assistant to support the VP Sales Acceleration. The duties range from basic office tasks such as managing agendas and calendars, managing executive correspondence; to more complex tasks such as researching and summarizing information, providing meeting minutes, and assisting on special projects. The individual must be motivated and proactive as well as possess strong multitasking skills. This position has the potential for career growth and professional training.

Palo Alto Networks is a fast-paced, rapidly growing environment that will require flexibility to roll up your sleeves and participate in various capacities to deliver success. In this role, you will be working with senior executives and drive the administration day-to-day operations as assigned. You will be expected to handle all duties with a high degree of integrity, professionalism, and confidentiality.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. The person in this role would be highly motivated, takes initiative, and feels comfortable with ambiguity. They know how to ask the right questions to gain more detail, and can drive to execution efficiently and proficiently.

Your Impact

  • Manage and prioritize calendars, schedules, and communications
  • Arrange travel schedules that can quickly change and need adjustment
  • Organize meetings, entertainment, and events
  • Coordinate with internal and external teams
  • Special projects as assigned in relation to travel services
  • File expense reports and track reimbursement status for weekly expenses support ad-hoc requests, often on short notice
  • Responsible for assisting in office duties such as answering phone calls, sending emails, ordering meals and greeting visitors
  • Available and responsive to the global nature of the business – oftentimes extending into non-traditional office hours

Qualifications

Your Experience

  • 5+ years executive administrative experience, or an equivalent combination of experience supporting c-level executives within a multinational hi-tech, strategic consultancy or professional services consultancy firm
  • Experience supporting a Sales leader is a plus
  • Proficiency in Google Suite Products – Drive, Gmail, Calendar
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Focus on discretion and confidentiality
  • Excellent reliability and attention to detail
