Job Description
Reporting to the CEO of The Pallet Network, the Executive Assistant (Internally known as Business Support Executive) will support the CEO and the TPN board members, handling a wide range of administrative tasks and acting as a liaison between internal and external stakeholders. Organisational skills, attention to detail, and a proactive approach will be essential in enabling the CEO to focus on strategic initiatives and drive TPN forward.
Working hours: Monday to Friday, 40 hour week. Hybrid working with up to 2 days based at home and 3 days in the office.
Key Duties of an Executive Assistant:
- Full and complex diary management, arranging travel and accommodation for TPN Board.
- Provide operational support, working closely with all the CEO direct reports and wider management team, becoming a conduit between all parties, encouraging collaboration and improved communication.
- Provide comprehensive administrative support including a mixture of administrative, accounts management, and people management duties, including preparing reports and presentations.
- Preparing and editing correspondence, presentations, and other documents as needed, maintaining accuracy and confidentiality.
- Acting as point of contact for internal and external communications on behalf of the CEO, ensuring prompt and professional responses.
- Contract Management support, including proofreading of confidential documentation.
- Arrangement and chairing of leadership meetings, proactive minute taking and action log reporting.
- Project Management support for an array of initiatives within the department, from onboarding to recruitment, marketing strategy to tender documentation completion.
- Conducting research and gathering information to support decision-making processes and strategic initiatives.
- Managing special projects assigned by the CEO, taking ownership from conception to completion.
- Serving as a liaison between the CEO and other departments, facilitating communication and collaboration.
- Support with analysing Key Performance Data metrics, applying logic and identifying trends to help drive continuous improvement.
- Anticipating the needs of the CEO and proactively addressing them, demonstrating initiative and resourcefulness.
Qualifications:
- Previous PA/EA experience within a large organisation.
- Strong planning and organisational skills, with the ability to prioritise.
- Excellent attention to detail.
- Positive and proactive approach to work.
- Discretion and confidentiality in handling sensitive information.
- Flexible and adaptable, comfortable with handling continually changing priorities and tasks.
- Strong written and verbal communication skills with the ability to communicate at all levels within the business and effectively translate complex information into common terms.
- Sound administration skills, ability to use Microsoft products including Word, Excel, PowerPoint.
- Ability to research, analyse and reason logically and effectively within tight and conflicting time frames.
- UK driver’s licence is essential.
