Security Clearance Administration
- Carry out Baseline Personnel Security Standard (BPSS) checks for new starters and roster members and subsequently process HMG Security Clearance applications.
- Update clearances for core staff and consultants on Palladium HSOT project management systems.
- Manage the security clearances inbox & be the main contact point for contractors on security clearance issues.
- Budget monitoring, processing supplier invoices & update forecasting/accruals processes.
- Ensure information and risk relating to security clearance is communicated effectively and in a timely manner to all relevant parties.
- Processing SC and DV renewals
- Carrying out Monthly audits for existing consultants to ensure clearances are renewed in a timely manner
- Point of contact for external BPSS provider regarding consultant applications
- Providing innovative solutions to manage BPSS costs ensuring VFM
- Handling laptop exception for roster members on FXTE contracts.
- Generate monthly clearance reports to be shared with relevant counterparts
HR and Talent Administrative Support
- Monitor scheduled activities and prepare and issue personnel contracts, contract amendments, and letters as required in a timely and compliant fashion.
- Keep the HR Information System fully always updated, maintaining HR records and files in line with GDPR.
- Ensure all documents are stored in the appropriate system, conducting or supporting internal audits as required.
- Supporting with advertising on various job boards as well as sourcing of applications and scheduling interviews.
- Attending activity planning meetings across teams as required, and incorporating associated deliverables into HR schedule.

Other Duties
- Undertake any other duties as appropriate to the position, as requested.
- Contribute to HEROS contract monthly, quarterly, annual contractual reporting on specialist portfolio, and provide support as requested in support of results-based reporting.
- Support business Transition and Exit Planning: Play a pivotal role in adapting to system upgrades and organizational changes, ensuring the workforce is aligned with future business needs. Lead on providing data inputs during the transition phase
- As appropriate, engage with Palladium UKEA regional team fora and initiatives.
Qualifications
- Experience working in an administrative capacity in a fast‑paced professional environment.
- Experience of drafting and issuing contracts.
- Experience of working with HRIS, or CRM systems.
- Customer facing experience, ability to handle queries and escalate as required.
- HR experience and qualifications are desirable.
- Demonstrable attention to detail and accuracy.
- Organisational skills: planning, managing information, controlling timelines and meeting deadlines.
- Strong communication and interpersonal skills, and proven experience of building strong working relationships.
- Proven ability to deal with a varied, demanding, often conflicting and rapidly changing workload.
- Act with integrity, reliability, and respect in all interactions
- Represent Palladium positively in all professional settings
