Job Role

Senior Administrative Assistant – supporting the management team at our private hospital and healthcare facility with a variety of administrative processes.

Responsibilities

  • Provide administrative support to managers and employees.
  • Assist with incident/complaint investigations and draft reports/responses.
  • Log and upload information to CRM systems; administer CRM.
  • Draft letters.
  • Manage subject access requests and medical records administration.
  • Handle financial and invoice administration.
  • Manage petty cash administration and reconciliation.
  • Assist with banking.
  • Vet CVs for management review.
  • Support audits and data collection.
  • Assist with administrative team rotas.
  • Arrange meetings by scheduling times, booking rooms, managing diaries.
  • Liaise with staff, consultants and clinicians professionally and confidentially.
  • Take, draft and distribute meeting minutes.
  • Collate and prepare documents – meetings, letters, engagement letters, reports, proofs – in line with corporate image policy.
  • Help managers organise their papers and confidential filing (e. g., HR related).
  • Any other duties deemed necessary for the business.
