Job RoleSenior Administrative Assistant - supporting the management team at our private hospital and healthcare facility with a variety of administrative processes.
Key Qualities- Excellent interpersonal skills
- Strong organisational skills; ability to work to deadlines
- Computer literate with good working knowledge of MS Office (Word, Excel & Outlook)
- Excellent written and verbal communication skills
- Ability to multi task
- Problem solver, with the ability to think outside the box
- Experience in a similar role essential
- Experience in sensitive data management, complaints & incidents handling
- Provide administrative support to managers and employees.
- Assist with incident/complaint investigations and draft reports/responses.
- Log and upload information to CRM systems; administer CRM.
- Draft letters.
- Manage subject access requests and medical records administration.
- Handle financial and invoice administration.
- Manage petty cash administration and reconciliation.
- Assist with banking.
- Vet CVs for management review.
- Support audits and data collection.
- Assist with administrative team rotas.
- Arrange meetings by scheduling times, booking rooms, managing diaries.
- Liaise with staff, consultants and clinicians professionally and confidentially.
- Take, draft and distribute meeting minutes.
- Collate and prepare documents - meetings, letters, engagement letters, reports, proofs - in line with corporate image policy.
- Help managers organise their papers and confidential filing (e.g., HR related).
- Any other duties deemed necessary for the business.
