Since launching in 2007, Pai Skincare has empowered tens of thousands of people to achieve happier, healthier skin. Born from our founder Sarah Brown’s personal journey with hypersensitive skin, we’ve grown into a globally recognised, award-winning skincare brand. Our West London HQ is where the magic happens—where every bottle is formulated, manufactured, and shipped with care. We are proud to be leaders in ethical, sustainable skincare, pushing the boundaries with natural, high-performance ingredients. Now, we are looking for passionate individuals to join our team and help us reach millions more around the world.
Why this role matters: We are looking for a highly organised and proactive individual to support our in-house Pai Skincare creative team. This role blends traffic management for all creative briefs/content needs, studio coordination and operational support, working closely with the wider cross-functional team to support the creative team’s daily workflow. To be successful in this role, you will need to be extremely organised, adaptable, and ready to jump into tasks as you’ll often be juggling multiple responsibilities at once. We are looking for someone with a strong can-do attitude and a genuine enthusiasm for growing within creative production. This is an exciting opportunity for someone who thrives in a creative environment, enjoys problem-solving, and is eager to build a career in production, operations, and workflow management.
What you’ll be doing:
- Creative Operations & Traffic Management: Support the Senior Studio & Content Production Manager in the day-to-day operational running of the Pai Skincare creative team and offering support to improve efficiency. Use the project management tool (e.g. Asana, Monday.com, Trello) to brief designers, copywriters, and content creators. Assist in supporting the workflow of a multi-disciplinary creative team (design, copy, social content). Ensure briefs are complete, clear, and tracked through all stages of production—from intake to delivery. Monitor deadlines and flag bottlenecks managing the communication flow between the creative and wider teams. Prepare and update creative documentation and briefing packs for external freelancers and agencies, including the sharing of content when required. Liaison with external stakeholders (e.g. printers) to support packaging production, including tracking and file sharing. Support with resource planning, tracking workloads, and updating schedules/roadmaps. Overall management of all brand content from across departments. Keeping asset trackers, shoot trackers, and project logs organised and up to date, with accuracy of what is available including expiry/usage. Work with the wider marketing and creative team to support photography and videography requirements. Coordinate with NPD teams to ensure availability of product for shoots.
- Production & Shoot Support: Assist the Senior Studio & Content Production Manager and wider marketing/creative teams during pre-production and production phases. Oversee the smooth running of shoot days and provide hands-on support, including: Purchasing shoot props and supplies. Submitting invoices, receipts, and expenses for shoot (and all creative-related) purchases. Providing on-set support—including unpacking, packing, steaming items, and organising product layout. Arranging on-set refreshments, travel, and logistics for the creative and production teams. Liaise with external suppliers, retouchers, and creative partners when needed.
What you’ll bring:
- 1-2 years experience in a content production and studio management role
- Experience using project management tools (e.g. Asana, Monday, Notion)
- Highly organised with excellent attention to detail
- Strong communicator with the ability to coordinate across multiple teams
- Comfortable working in a fast-paced creative environment with shifting priorities
- Interest in beauty, skincare, or creative production is preferred
- An interest and basic knowledge in design, and delivery requirements for various media channels
- Experience with Figma and Photoshop are a bonus
