Our client, a lovely Private Equity firm in the City, is looking for a PA to support their CEO. Tasks include, but are not limited to:

  • Executive Support
    • Manage a complex, frequently changing calendar across multiple time zones
    • Schedule internal and external meetings with investors, portfolio companies, advisors, and senior stakeholders
    • Ensure the CEO is prepared for meetings by coordinating agendas, briefing notes, dial-ins, materials, and follow-ups
    • Manage incoming requests and sensitive communications with discretion, prioritising messages and flagging what needs attention
    • Act as a professional point of contact for the CEO, representing the firm with confidence and excellent presentation
  • Travel & Logistics
    • Coordinate end-to-end travel: flights, accommodation, ground transport, visas (if required), and itineraries
    • Produce clear travel itineraries including meeting details, contacts, locations, and timings
    • Handle last-minute changes quickly and calmly
  • Office & Administrative Coordination
    • Support expenses, invoices, and reimbursements; maintain accurate records
    • Assist with document coordination, signature processes, and general administration
    • Liaise with internal teams (tech, legal, finance, operations) to keep CEO priorities moving
  • Stakeholder & Process Support
    • Track actions from meetings and ensure follow-ups are completed
    • Coordinate CEO-related processes (board materials, investor meetings, portfolio updates)
    • Improve administrative systems, templates, and routines to increase efficiency and consistency

This role is flexible, with 3/4 days required in the office and 5 days in the office when the business and CEO require it.
