Position Summary:

The Quality Control Administrator is responsible for ensuring that all incoming, stored, and outgoing cosmetic products within the warehouse meet company quality standards and comply with industry regulations. This role involves inspecting stock, documenting quality issues, managing batch and expiry tracking, and supporting warehouse operations to maintain product integrity. The administrator will act as the key link between the warehouse, operations, and compliance teams to safeguard product quality and customer satisfaction.

Roles & Responsibilities:

Product Quality Control

  • Inspect incoming shipments of cosmetic products to verify quality, accuracy, and compliance with purchase specifications.
  • Conduct regular spot checks on warehouse inventory to ensure correct storage conditions, product labeling, and packaging integrity.
  • Perform quality checks on products prior to picking, packing, and dispatch to customers/retailers.
  • Oversee batch/lot number tracking and expiry date monitoring to ensure products remain within usable shelf life.
  • Identify, segregate, and document non-conforming or damaged stock.

Documentation & Reporting

  • Maintain accurate quality control records, inspection reports, and non-conformance logs.
  • Prepare daily/weekly QC reports for warehouse and management teams.
  • Ensure that all products are logged correctly in the Warehouse Management System (WMS) for traceability.
  • Support audit processes by providing QC documentation and product compliance evidence when required.

Compliance & Standards

  • Ensure compliance with company SOPs, industry regulations, and health & safety guidelines for cosmetic products.
  • Verify that packaging and labelling comply with cosmetic regulations and customer requirements.
  • Support regulatory compliance in relation to storage and handling of products, including restricted or sensitive cosmetic items.
  • Assist with internal and external audits related to quality and warehouse operations.

Collaboration & Communication

  • Work closely with warehouse supervisors and pick-pack teams to address quality issues promptly.
  • Liaise with suppliers on product quality concerns and assist with return/claims processes where needed.
  • Coordinate with the operations and customer service teams to investigate customer complaints and provide resolutions.
  • Train warehouse staff on quality standards, product handling requirements, and SOPs.

Process Improvement

  • Identify recurring quality issues and recommend corrective/preventive measures.
  • Support the development and implementation of continuous improvement initiatives for product handling and quality assurance.
  • Contribute to process reviews and the updating of SOPs relating to warehouse quality control.

Health, Safety & Warehouse Compliance

  • Ensure safe handling and storage of cosmetic products in accordance with warehouse safety procedures.
  • Monitor warehouse conditions (temperature, humidity, cleanliness) to prevent product degradation.
  • Ensure damaged or expired products are disposed of in line with environmental and regulatory requirements.

Qualifications & Skills:

  • Previous experience in a warehouse quality control or administrative role (cosmetics preferred).
  • Strong knowledge of quality assurance practices and warehouse operations.
  • Familiarity with cosmetic product handling, batch tracking, and regulatory labelling requirements is desirable.
  • Proficiency in Microsoft Office and Warehouse Management Systems (WMS).
  • Excellent organizational and record-keeping skills with strong attention to detail.
  • Effective communication and interpersonal skills to liaise with cross-functional teams.
  • Ability to identify issues, recommend solutions, and implement corrective actions.
  • Strong time management skills, with the ability to work independently and meet deadlines.

  • Number of non-conformance incidents detected and resolved.
  • Inventory integrity (minimal expired/damaged stock in circulation).
