Position Summary

The Inventory & Quality Control Manager will be responsible for all aspects of stock management including coordinating shipping, receiving, counting, quality control, and loading inventory into the Oxwash system, including quality control of linen and consumables across the full stock lifecycle. From receiving and inspection through to on-site distribution and post-wash validation. This role will manage stock takes (including on-site customer stocktakes and reconciliations), minor consumable purchasing, and local procurement while ensuring optimal inventory levels and quality standards are maintained. The position reports to the Chief Financial Officer and works closely with operations teams to support smooth daily operations.

Inventory Management

  • Manage stock holding of consumables and linen across all Oxwash locations
  • Implement and maintain formal stock management systems and processes
  • Ensure accurate stock levels are maintained in inventory management systems
  • Establish and monitor minimum/maximum stock levels and reorder points
  • Identify and address stock discrepancies promptly
  • Minimise waste and obsolescence through effective stock rotation and management
  • Organise stock storage areas for optimal efficiency and accessibility
  • Ensure proper labeling and identification of all inventory items
  • Track and manage rejected stock to ensure only QC-cleared goods are available for operational use

Stock Operations

  • Coordinate shipping and receiving of all inventory items
  • Oversee the unloading, checking, and proper storage of deliveries
  • Implement and maintain quality control procedures for incoming stock, including visual inspection of packaging, product condition, and random technical sampling.
  • Manage the distribution of stock to appropriate locations within facilities
  • Ensure proper handling and storage of all items to prevent damage
  • Coordinate with operations teams to understand stock requirements and usage patterns
  • Manage stock movements between different Oxwash locations as needed

Stock Auditing and Reporting

  • Perform regular stock takes internally and with customers for consumable and linen stock
  • Ensure recovery of costs for any damaged/lost linen
  • Maintain accurate records of all stock movements and transactions
  • Generate stock and QC audit logs that feed into supplier performance and customer reporting
  • Generate regular stock reports for management review
  • Track stock levels, usage patterns, and identify trends
  • Report on stock-related KPIs and metrics
  • Identify and report on slow-moving or obsolete inventory

Local Procurement

  • Manage domestic/local procurement for items such as kitchen essentials and office supplies
  • Source and purchase minor consumables as needed
  • Maintain relationships with local suppliers
  • Ensure best value for money in all local purchasing decisions
  • Process purchase orders and maintain procurement documentation
  • Verify invoices against deliveries and resolve any discrepancies

Compliance and Best Practices

  • Ensure adherence to stock management best practices and company policies
  • Maintain compliance with all relevant regulations and governance structures
  • Implement health and safety standards in stock handling and storage
  • Ensure proper documentation is maintained for audit purposes
  • Stay informed about industry best practices in inventory management
  • Maintain a formal record of all QC activities and inspection logs for audit and compliance purposes

Continuous Improvement

  • Identify and implement process improvements in stock management
  • Contribute to the development of more efficient inventory control methods
  • Collaborate with the Procurement and Supply Chain Manager on stock optimisation initiatives
  • Provide feedback on supplier performance and product quality, and suggest improvements to QC and testing workflows.
  • Suggest improvements to stock management systems and tools

Qualifications and Experience

Required

  • Minimum 3 years of experience in inventory management or stock control
  • Experience with inventory management systems and stock control processes
  • Knowledge of warehouse operations and stock handling procedures
  • Proficiency in Microsoft Excel and inventory management software
  • Experience in performing stock takes and reconciliations
  • Understanding of quality control processes
  • Basic procurement experience, particularly for consumables and supplies
  • Strong attention to detail and organisational skills

Preferred

  • Experience in laundry, textile, or similar industries
  • Knowledge of sustainable stock management practices
  • Experience with barcode systems and inventory tracking technologies
  • Understanding of supply chain operations
  • Experience in a growing business environment
  • Knowledge of health and safety regulations related to stock handling and storage
