SUMMARY

Reporting to the despatch supervisor, a despatch operator is part of the team which is responsible for completion of all required UK and Export shipments, shipping documentation, efficiently supporting day to day activities.

DUTIES AND RESPONSIBILITIES

  • Pack and label parts and products in line with company procedures and customer expectations, including raising of pick lists to ensure the product(s) can be despatched in a timely fashion.
  • Use IFS and SharePoint to identify where parts are used and what needs to happen to the parts next to move them on through the system in a timely manner in line with customer order requirements.
  • Produce all shipping documentation to ensure goods are transferred to couriers in accordance with current UK export compliance and UK domestic shipping laws and regulations. This includes generation of correct documentation to include but not limited to delivery notes, certificates of conformity, invoices, EUR1, ATR, Certificates of Origin, Airway bills and freight forwarder confirmations of collection.
  • Despatching of Free Issue against purchase orders in a timely manner, the correct free issue parts in the required quantities, to the specified supplier.
  • Scan and archive shipment documentation, into the company systems to ensure availability for future reference and audits.
  • Quickly and efficiently handle queries.
  • Monitor stock levels of packing consumable items, raise purchase requisitions as required to ensure timely receipt to maintain the minimum stock levels.
  • Undertake stock counts as requested, facilitating a quick response.

QUALIFICATIONS

5 GCSE’s, at grade C or above, or equivalent including Maths and English.

EXPERIENCE

IFS or other ERP system experience is essential. Manual handling experience essential. Experience of working in an Operations environment.

ADDITIONAL SKILLS

  • Strong teamwork background.
  • Good knowledge of Microsoft Office packages including Word, Excel and Outlook is an advantage.
  • Good knowledge of Courier systems including UPS, Fed-Ex, TNT, and DHL is an advantage.
  • Ability to work with detailed information in a structured fashion.
  • Excellent communication and numeracy skills.
  • Ability to follow both written and verbal instruction.
  • Understanding of Health & Safety issues.

Conscientious and hardworking individual who can work effectively with attention to detail in a fast-moving environment, whilst always maintaining accuracy. Ability to work to tight deadlines and to deal with several issues at once.
