We are seeking a highly professional and personable, part-time, Administrator/Receptionist to oversee the reception area of our Head Office in Great Clarendon Street, Oxford. As the first point of contact for visitors, you will play a crucial role in creating a positive and lasting impression of our organisation. In addition to welcoming guests, you will manage various administrative tasks, including room bookings and other office coordination duties. The ideal candidate will demonstrate exceptional professionalism, strong organisational skills, and the ability to represent our company with integrity and efficiency.
Key Responsibilities
- To represent OUP as the first point of contact with visitors giving a professional and welcoming impression of the organisation.
- To maintain accurate records of visitors, contractors, and employees, issue identification badges, and assist with security procedures to ensure proper access to the building.
- To provide admin support to the Real Estate team.
- To be integrated within the Facilities and Security team, identifying and reporting any incidents.
- To take, record and issue messages for or from visitors.
- To ensure and maintain the tidiness and general appearance of the reception area.
- To administer bookings of conference/meeting rooms, including the co-ordination of equipment.
This is a part-time position working 25 hours (12:00 – 17:00 Monday to Friday) per week. This role will work on-site at our Oxford office.
About You
To be successful in this role, you will ideally have/be:
- Significant experience of providing reception and administrative support for a larger organisation.
- Excellent communication skills.
- Intermediate level IT skills, including Word & Excel.
- Solid organisational skills.
- Reliable and consistent in approach to duties.
