As a
Personal & Team Assistant , you'll play a vital role in enabling our Executive Leadership Team to focus on shaping the future of quantum computing.
As part of our evolving Executive Support function, you'll provide proactive, high-quality support across multiple leaders, helping to create a consistent, collaborative and scalable executive support service that keeps the business running smoothly.
The Role
You'll be a trusted partner to senior leaders, expertly coordinating diaries, meetings, travel and day-to-day business operations in a fast-paced, high-growth environment.
Working closely with the wider Executive Support Team, you'll balance competing priorities, build strong relationships across the business and continuously improve the way executive support is delivered.
There will be a requirement to be in the office a minimum of 2 days per week.
- What You'll Be Working On
- Manage complex executive diaries, balancing changing priorities to maximise leaders' time and business impact.
- Coordinate meetings, leadership forums, governance activities, travel and events, ensuring every detail is planned and executed seamlessly.
- Manage executive inboxes, communications and follow-up actions, ensuring priorities are handled efficiently and confidentially.
- Deliver high-quality administrative support, including expenses, purchase orders, documentation, onboarding and recruitment coordination.
- Prepare professional presentations, reports and business documents to support executive decision-making.
- Build strong relationships across OQC, providing responsive, proactive support to executives, stakeholders and visitors.
- Identify opportunities to improve processes, standardise ways of working and contribute to a resilient, collaborative Executive Support function.
What We're Looking For
- Experience providing executive or senior administrative support to senior leaders in a fast-paced organisation.
- Proven ability to manage complex diaries, competing priorities and changing schedules with confidence.
- Experience coordinating meetings, travel, events and business logistics.
- Strong stakeholder management skills with the ability to build trusted relationships across all levels of the business.
- Excellent organisational, planning and prioritisation skills with exceptional attention to detail.
- Outstanding written and verbal communication skills.
- Experience handling confidential and commercially sensitive information with discretion and sound judgement.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides and Drive) and standard business applications.
- A proactive, adaptable mindset with a passion for continuous improvement and collaborative working.
- Practical experience providing executive support (formal qualifications are not essential).

- Experience supporting multiple executives simultaneously.
- Experience working within a centralised or shared Executive Support function.
- Experience supporting Executive Leadership Teams in a technology, science or high-growth scale-up environment.
- Experience using finance, procurement or HR systems.
- Familiarity with collaboration and work management tools such as Slack, Jira or similar.
- A qualification in Business Administration, Executive Support or a related discipline, or equivalent professional development.
