Part-time | 15 hours per week | Hybrid | Oxford-based

Oxford Online School is a small, growing online school providing high-quality education to students for whom traditional schooling is not always the right fit. We are seeking a highly organised and conscientious HR, Compliance & Safeguarding Officer to support our people operations, regulatory compliance, and safeguarding systems. This is a part-time, hybrid role suited to someone with experience in HR administration and safeguarding/compliance within education or a regulated environment.

The Role

The post holder will play a key role in ensuring that the school’s HR processes, statutory compliance, and safeguarding administration are robust, well-documented, and inspection-ready at all times. The role supports the Designated Safeguarding Lead (DSL) but does not carry statutory DSL responsibility.

Key Responsibilities

  • Human Resources
    • Support recruitment administration, including job adverts, interview documentation, and pre-employment checks
    • Prepare contracts, offer letters, and onboarding documentation
    • Maintain accurate personnel files and HR records
    • Maintain the Single Central Record (SCR) in line with statutory requirements
    • Support staff onboarding and offboarding processes
    • Track staff training, absence, probation periods, and contract changes
    • Act as a first point of contact for routine HR and people-related queries
    • Liaise with payroll/accountants regarding starters, leavers, and changes
  • Compliance & Governance
    • Maintain compliance trackers (DBS, right to work, qualifications, training)
    • Monitor completion of mandatory training (safeguarding, Prevent, KCSIE)
    • Ensure policies are up to date, implemented, and acknowledged by staff
    • Prepare compliance and evidence packs for inspections and audits
    • Track actions arising from audits, inspections, or internal reviews
    • Maintain complaints, grievances, and whistleblowing logs (process-based)
  • Safeguarding (Support to DSL)
    • Administer safeguarding records and logs securely
    • Monitor safeguarding training compliance for all staff
    • Support the DSL with documentation, reporting, and follow-up actions
    • Maintain safeguarding policies and staff acknowledgements
    • Coordinate safeguarding-related communications and reminders
    • Prepare safeguarding documentation for inspection purposes
    • Escalate concerns promptly to the DSL in line with policy

Person Specification

  • Experience in HR administration or people operations
  • Experience working with compliance processes in education or a regulated sector
  • Familiarity with safeguarding processes at an administrative or support level
  • High attention to detail and strong organisational skills
  • Ability to handle confidential and sensitive information professionally
  • Confidence working independently in a small organisation
  • Experience working in a school, college, AP, or online education setting
  • Experience maintaining a Single Central Record
  • Knowledge of Ofsted expectations
  • CIPD Level 3 (or working towards)
  • Experience using safeguarding systems (e.g. CPOMS or similar)

Working Pattern & Location

  • 15 hours per week, flexible across the week
  • Hybrid role, with on-site presence in Oxford required
  • Year-round role (not term-time only)
  • £16–£20 per hour, depending on experience
