Your Role At Oxa, we're driving innovation and growth in a fast-paced, dynamic environment, and we're on the lookout for an experienced and adaptable People Coordinator to join our growing team. As a rapidly scaling organisation, we require a people focused partner who can help the People team shape our HR function across our global operations. Reporting to the Head of People, you will be integral to the people operations at Oxa, collaborating closely with the People Advisor and key stakeholders across diverse markets, ensuring alignment of HR practices with business objectives while fostering a positive and inclusive workplace culture.

Core Responsibilities- Onboarding administration: Drafting and issuing offer letters and contracts of employment. Issuing new starter documents, collating and recording documents received and liaising with new starters. Conducting reference, pre-employment checks and right to work checks. Liaising with line managers and IT to facilitate onboarding. Conducting HR Inductions for new starters. Monitoring completion of the probation period process.
- HR Systems: Management of internal HR Information System (Hibob) including workflows, system set up and settings - ensuring it is kept up to date with accurate information. Manage administration linked to employee lifecycle changes including promotion, salary review, change to terms and conditions. Organise and maintain team member records and digital files, such as starter and leaver checklists. Prepare general / ad hoc letters, i.e. reference request letters and confirmation of employment letters.
- Payroll support: Manage monthly payroll administration activities ensuring the data is accurate and sent to finance in a timely manner.
- Management of the HR Inbox: Act as the first point of contact for people queries within the HR inbox and provide advice and support in response to general people queries.
- Employee Relations: Act as a trusted advisor to employees and managers, providing guidance on HR-related issues, and fostering a positive work environment.
- Compliance & Policies: Support the People team to ensure compliance with local labor laws and company policies across different countries, maintaining up-to-date HR documentation as required.
- Training course administration: Manage the facilitation of mandatory training courses as required.
- Compensation & Benefits: Administer employee compensation and benefits programs, including salary reviews, bonuses, and other incentives.
- HR Metrics & Reporting: Generate HR reports, and provide data-driven insights to leadership for informed decision-making.
- Culture & Employee Engagement: Together with the People team, champion company culture initiatives and employee engagement activities to promote a motivated and inclusive work environment.
- Experience of working in a HR Coordinator or Generalist Role.
- Exposure to working within a fast paced, start-up / scale up environment where adaptability and the ability to handle multiple priorities are essential.
- Experience supporting HR initiatives across multiple countries/regions, including visa and immigration legislation and compliance.
- A track record of handling tasks that require a high level of detail.
- High proficiency in Google Workspace: Docs, Sheets, Gmail.
- Exposure to working with HRIS and ATS systems to manage employee data and run reports.
- Strong communication and interpersonal skills.
