Oxa Autonomy are seeking a highly organised, proactive Part-Time Executive Assistant to support both the CFO and COO—two key leaders driving our international growth. This is a unique opportunity to gain exposure to high-level decision-making, strategic operations, and global expansion, while playing an essential role in keeping a fast-paced, innovative business running smoothly. Role & Responsibilities
The opportunity will be for an initial 12 month period, hours of 10am-2pm Monday-Friday on a hybrid working arrangement. Responsibilities will include:
- Managing Executives calendar and arrange meetings (internal and external)
- Managing Executives time constraints and ensuring all meeting times are met
- Make travel and accommodation arrangements for senior executive members
- Act as the point of contact among executives, employees, clients and other external partners
- Completing a broad variety of administrative tasks that facilitate the Executive’s ability to effectively lead the organisation
- Work closely with the Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Coordinate effective meetings by organising and collating meeting agendas, providing confidential minute taking and distribution and coordinating follow up actions. This includes room bookings and equipment set up such as teleconferencing and refreshments
- Prepare paperwork/briefings for upcoming meetings, talks, interviews etc.
- Full inbox management
- Team support for Exec function as needed
- Act as a second pair of eyes and ears and help to pre-empt Exec needs and requirements
- Project type tasks & support as required
- Any other reasonable duties as required
What you will need to succeed
- Recent experience as an Executive Assistant, Personal Assistant or similar role
- Outstanding organisational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Ability to work under pressure and to deadlines when required
- Strong ability to execute work with a diversity, equity, and inclusion lens.
- Significant executive support experience, including supporting C-level executives.
- Expert proficiency with Macs and desktop publishing software; ability to design and edit graphic presentations and materials.
- Exceptional organisational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, community leaders, donors, and funded partners.
- Make appropriate, informed decisions regarding priorities and available time.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent judgement is essential.
- Ability to switch gears at a moment’s notice.
