AstheMedication Journey Coordinatorat The Owl,youwillplay a key role in supporting the safe and smooth delivery of our ADHD Medication Service.Youwillhelp guideclientsthrough every stage of their journey;from referral and starting medication, through titration and stabilisation, to annual reviews and shared care.

Youwillbe focused on making sure eachclientsfeels supported, informed, and valued at every step.You willkeep everything running smoothly behind thescenes, ensuring communication is clear andtimely, and thatclientshave a positive experience throughout their medication journey.

Youwillwork closely with clinicians, GP practices,pharmaciesand other partners, acting as a key point of contact to keep everything coordinated and on track. Alongside this, youwillmake sure processes are followed safely and in line with clinical standards and The Owl’svalues.

*Please note this position will be based in our office 4 days a week during training, once competent, a hybrid model (2 days in the office)*

What you'll be doing

  • CoordinatetheADHD medication pathwaysbyhelpingclientsmove smoothly through each stage-allocatingclientstoclinicians,booking titrationappointments, and keeping track of progresstostay on time.
  • Support shared care arrangements by working closely with GP practices, keeping documentation up to date, and making sure everything is in place for safe and consistent prescribing.
  • Manage busy inboxesbyrespondingto messages in asupportiveandtimelyway to keep things moving and make sureclientsfeel supportedwith each query.
  • Triage any clinical or operationalquerybyspotting anything urgent or concerning and making sureit’spassed to the right clinician quickly.
  • Support private referrals by handling enquiries, booking appointments, and making sure all the right information is in place for a smooth start to care.
  • Follow clear processes and guidelines (like SOPs, GDPR, and safeguarding)byhelping to keep the service safe, compliant, and running as it should.
  • Keep an eye out for any delays or risks in the pathway, raising these early so they can be addressed andclientcare stays on track.
  • Check clinical letters and updates before theyare released, making sure everything isaccurate, clear, and ready to support safe prescribing.

We’d love it if;

  • Experience working in healthcare operations orclientcoordination and be comfortable managing busy inboxes andclientpathways. Ideally,you’llhave worked in ADHD, mental health, neurodevelopmental, or medication-focused services.
  • A clear and confident communicator,who’sable to build positive relationships withclients and colleagues.Youwillbe just as comfortable working on your own as you are as part of a team, and able to remain calm and professional even when things get busy.
  • Youwillbe organised and able to prioritise your workload, with good attention to detail.
  • Experience in using IT systems and can confidentlyoperateMicrosoft packages.
