As the Business Administrator Apprentice here at The Owl you will support the planning, coordination and delivery of project across the organisation.
You will provide administrative and operational support to ensure projects are well organised and on track whilst being effectively communicated.
You will complete your Business Administration Level 2 apprenticeship course and will be supported throughout your apprenticeship by an amazing mentor here at The Owl and through our external training provider.
You will work on a hybrid basis and need to make sure you are able to travel to our office in Pontypool 2 times per week.
What you'll be doing
- Support the successful delivery of projects taking place across different areas of The Owl by working closely with colleagues to coordinate activities, keep project plans on track and provide day to day support when required to ensure projects run smoothly.
- Keep project documentation organised, accurate and up to date, including action logs, RAID logs Risks, Assumptions, Issues, Dependencies), project plans and trackers by regularly updating documents, recording progress and ensuring information is easy for colleagues to access and understand to ensure well maintained documentation provides visibility, supports informed decision making and helps projects progress.
- Coordinate project meetings, prepare agendas and accurate meeting notes by scheduling meetings and working with colleagues to identify discussion topics, record key decisions and actions and distribute notes promptly to ensure well organised meetings help teams stay aligned and make informed decisions and maintain momentum.
- Monitor agreed actions and support colleagues to complete them within agreed timescales by maintaining action trackers and providing reminders where appropriate to follow through on actions and help projects move forward.
- Assist with preparing project updates, reports and presentations by gathering information from project teams, present it clearly and ensure reporting is accurate and up to date to ensure stakeholders have clear reporting confidence.
- Communicate with colleagues and shareholders to gather, share and clarify project information by developing positive working relationships, respond to queries and keep everyone informed throughout the project lifecycle to work in an open and collaborative way which helps everyone work toward shared goals.
- Support improvements to the way we work by identifying opportunities to make our processes more effective by sharing ideas, reflect on learning from projects and contribute to developing more efficient ways of working to ensure continuous improvement helps us deliver the best possible experience for colleagues and the people who access our services.
