Due to an internal promotion, we are inviting applications for an Event Coordinator role. This is an exciting opportunity for somebody wishing to take the next step in their professional event management career.
In this role as Event Coordinator you will provide support to the Senior Event Manager and Senior Event Coordinator across all aspects of in‑house and bespoke events, and attend events to ensure sponsors and delegates have a positive experience.

What You’ll Do:
- Liaise with suppliers, helping to arrange all event details such as venues, audio and visual, entertainment and branding.
- Ensure the event production is consistent with all brand guidelines.
- Assist with site checks – liaise with venues, visit and verify locations, and keep the venue directory up to date.
- Support event logistics and documentation.
- Complete company details forms, biographies and presentations.
- Check and sign off venue contracts.
- Proofread documents.
- Create and edit copy for events.
- Maintain the event app and CRM systems, keeping platforms up to date with the latest technology trends.
- Attend events as the professional face of Owen James, ensuring sponsors and delegates have a positive experience and that the event runs smoothly.
- Support post‑event evaluations and manage the feedback process.
- Work alongside the Event Executive to coordinate and deliver successful breakfast briefings for clients throughout the year.
What You’ll Need to Succeed:
Essential Requirements:
- Minimum of 2 years’ experience within the events industry.
- Excellent communication skills and interpersonal abilities.
- Good spoken and written English is essential.
- Comfortable on the telephone and in meetings – able to communicate confidently and effectively to a wide range of clients, including those at the most senior levels, in an appropriate and sensitive manner, through all forms of communication media.
- Well‑presented – as the Event Executive, you are encouraged to socialise with delegates at events and will act as an ambassador for the company.
- Comfortable dealing with people at a very senior level.
Desirable Requirements:
- Familiarity with virtual event platforms and event apps, particularly Cvent, and CRM systems is a plus.

- Have a genuine passion for events, able to work under pressure while remaining calm and focused.
- Great attention to detail and a keen multitasker – we run over 60 events per year, so good organisation and multitasking skills are essential.
- Self‑motivated – we are a very fast‑paced company and we are looking for someone who will take initiative rather than wait for a to‑do list.
- Team player – we are a tight‑knit company, so collaboration is essential.
Important to Know:
This is a hybrid role where you’ll work from our central London office with your team 3 days each week on Mondays, Wednesdays and Thursdays. The Owen James HQ is in Godalming, so once a month you’ll also work with colleagues from that office. Events – we run about 60 in‑person events a year which you are expected to attend (usually a 7am start). The majority are based in London, so being within commuting distance is essential.
