Reporting to: Senior Payroll Manager

Where you’ll work: Depending on the needs of your business area, we expect hub based people to be in the office at least once a week, and to go to OVO Connection events in-person. You’ll be assigned to our Bristol hub for this role. Each hub has accessible spaces to park your laptop, is designed to inspire people, help them connect and bring big ideas to life. This role in a nutshell: This role will be a key member of the Payroll team, and will report directly to the Senior Payroll Manager. This is an essential role within the payroll team to support the Payroll team to pay our people accurately and on time. There are many executive stakeholders and customers of the payroll team’s data and processes, including Head of People Operations, Head of Benefits and Reward, Workday HCM Principal Architect, Workday Payroll Analyst, Senior HCM Analyst, Integrations Lead, external consultants and Tax Team.

Responsibilities:

  • You will lead and project manage the deployment of payroll changes to the Workday tenant.
  • You will define test plans, create scripts and execute all levels of testing from user acceptance testing to regression tests.
  • You will develop process documentation detailing implemented changes and provide training to the Payroll, People and Reward teams when required.

Key Outcomes:

  • Deployment of payroll changes to the Workday tenant inline with compliance with statutory legislation, the Joint Agreement and OVO terms and conditions.
  • Deployment activities include routine patch updates, scheduled projects and all Jira tickets going into production tenant through the Workday Finance Jira Board.
  • Testing of absence plans, time tracking, reporting that all feed into the Workday Payroll module.
  • Scope of testing includes test plan, scripts and execution of unit, end to end, parallel run, smoke and regression test phases.
  • Liaising with key stakeholders to ensure all touch points are covered.
  • Create, validate and upload test data via EIB.
  • Produce payroll output files to include validated and analysed results.
  • Document/update payroll processes and guides inline with new Workday configuration.
  • Train and provide guidance on best practices regarding payroll processing, being the first line support to the payroll team.
  • Review and refine payroll process mapping, suggesting and implementing improvement to increase accuracy and efficiency.
  • Report and analysis queries post deployment.
  • Support and implement fixes in a timely manner.
  • Supervising test staff during project phases as required.
  • Support the payroll team with the end to end payroll which includes but is not limited to: Ensure payroll variations are all up to date to include additions, deductions and any variable pay issues that arise.
  • Collate and process all overtime hours.
  • Assist with the monthly pension and workplace benefits processes.
  • Resolve payroll queries within the SLAs set.
  • Issuing of all leaver payslips and P45s.
  • Administration of statutory leave (SAP, SPP, SMP, SSP, SHPP).
  • Processing all incoming HMRC notifications.
  • Responsible for post payroll reporting.
  • Assist with the processing and distribution of P11D and P60s.

Qualifications:

  • Strong payroll experience.
  • Comprehensive knowledge of payroll legislation.
  • Ability to design and implement key processes.
  • Proven testing experience.
  • Comfortable working in a rapidly changing environment and proposing, justifying, initiating and implementing change.
  • Strong team player, recognising the needs of all stakeholders and ensuring outcomes maximise value and impact across the enterprise.
  • Ability to problem solve complex issues, by using experience and analytical skills.
  • Diligent, with a preference for attention to detail, and willing to investigate at depth to resolve problems.
  • Excellent communication skills in order to explain complex issues to key stakeholders and train the relevant departments.
  • Ability to mentor less experienced team members and lead by example in both technical and non-technical aspects of the job.
