SEN Administrator & Examinations Officer

About The Role
Overstone Park Independent School is seeking a highly organised, proactive, and experienced administrator to join our dedicated team. This is a key role combining SEN administration responsibilities with oversight of the school’s examination processes as an Examination Officer. The successful candidate will play a central role in ensuring the smooth running of the school office, supporting the SEN department, and managing examination entries and procedures in line with awarding body regulations.
Key Responsibilities
- SEN Administration:
- Maintain and organise SEN records with accuracy and confidentiality.
- Ensure EHCPs are logged, updated, and reviewed appropriately.
- Coordinate annual reviews in partnership with Local Authorities.
- Liaise effectively with parents, staff, and external agencies.
- Support safeguarding leads and maintain accurate documentation.
- Complete provision maps and annual review reports.
- Ensure compliance with statutory requirements and school policies.
- Examinations Officer Responsibilities (Key Area Of The Role):
- Managing examination entries for all awarding bodies used by the school.
- Using examination board interchange systems to enter candidates, amend entries, and download results.
- Ensuring compliance with regulations and awarding body requirements.
- Organising exam timetables and coordinating room allocations.
- Ensuring appropriate exam conditions are in place.
- Liaising with teaching staff regarding entries, access arrangements, and deadlines.
- Managing the secure storage and distribution of examination papers.
- Overseeing the conduct of examinations, including delegation to assistant administrators during exam periods.
- Processing and distributing results to pupils and staff.
- Maintaining accurate records of entries, results, and certification.
- General Administrative Responsibilities:
- Manage front‑of‑house and reception duties.
- Answer and direct calls and correspondence professionally.
- Maintain pupil, staff, and trustee records.
- Support recruitment processes and safeguarding checks (including DBS processing).
- Assist with school events, meetings, and internal communications.
- Prepare minutes for staff and administrative meetings.
- Support marketing, newsletters, and school hire administration.
- Provide general administrative support to the Principal, Deputy Head, and Business Development Manager.
Qualifications & Experience – Examinations
- Ideally qualified as an Examinations Officer or holding relevant examination administration certification (desirable).
- Previous experience working as an Examinations Officer in a school setting is highly desirable.
- Strong understanding of examination board systems and JCQ regulations is preferred.
- Full training will be provided for the right candidate with strong administrative skills and willingness to learn.
Essential Qualifications
- Minimum of three years’ administrative experience (preferably in a school environment).
- Strong organisational skills and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High level of discretion when handling sensitive information.
- Strong IT skills including Microsoft Office.
- Ability to work independently and as part of a small team.
Desirable
- Experience within SEN administration.
- Experience as an Examinations Officer.
- Knowledge of JCQ and examination board systems.
- First Aid qualification.
- Valid UK driving licence.
