We are looking for a superb Sales Administrator / Sales Clerk to work in our small, but very busy office here at Overfinch HQ. This is an office-based role working Monday to Friday 9.00am to 5.30pm with NO remote working.

Job Summary: We are seeking a highly organised and proactive Sales & Administration Coordinator to support the Head of UK Sales and wider administration team. This multifaceted role includes managing vehicle stocking plans, overseeing vehicle sales profit and commission tracking, coordinating vehicle and parts orders (UK and international), and assisting with financial and administrative processes. The successful candidate will act as a key liaison across departments and serve as the primary contact for the Vehicle Sales Department in the absence of the Sales Director.

Key Responsibilities:

  • Assist the Sales Director and support the Sales and Accounts departments with administrative tasks.
  • Manage vehicle stocking plans, funding lines, and nominal ledgers.
  • Monitor vehicle sales profitability and commission reporting.
  • Arrange special order vehicles and coordinate bespoke builds with workshop and parts teams.
  • Oversee vehicle and parts ordering (UK and international), ensuring accurate documentation and timely processing.
  • Generate and analyse weekly DMS and sales performance reports.
  • Support the Accounts Department with transaction processing, invoicing, account reconciliation, and month-end reporting.
  • Maintain accurate and up-to-date records and data for stock, orders, and customer prospects.
  • Coordinate the administration of vehicle builds and international parts sales.
  • Act as the point of contact for sales queries in the absence of the Sales Director.
  • Undertake additional duties as required by Sales or Accounts leadership.

Ideal Candidate Will Have:

  • Strong administrative and organisational skills with excellent attention to detail.
  • Experience in vehicle sales administration or automotive industry preferred.
  • Confident in data analysis and report generation.
  • Proficient in using dealership management systems (DMS), ideally Kerridge and Microsoft Office Suite.
  • Ability to multitask and communicate effectively with internal and external stakeholders.
