Outsource UK are recruiting on behalf of a leading UK-based organisation for an experienced Executive Assistant to provide high-level administrative support to the Managing Director and Senior Leadership Team. This is a pivotal role requiring discretion, strong organisational skills, and the ability to manage competing priorities in a fast-paced, senior environment.
The Role
As Executive Assistant, you will provide efficient, reliable, and confidential support to the Managing Director while also assisting the wider Senior Leadership Team with a broad range of administrative and coordination tasks.
Key Responsibilities
- Provide day-to-day administrative support to the Managing Director and Senior Leadership Team
- Manage correspondence, including drafting emails and letters on behalf of senior leaders
- Maintain complex diaries, scheduling meetings, conferences, teleconferences, and travel
- Act as the first point of contact for visitors, customers, and external stakeholders
- Coordinate catering and on-site meeting arrangements as required
- Maintain effective communication with internal and external stakeholders at all levels
- Manage a central leadership meeting calendar and issue timely meeting invitations
- Capture and distribute meeting actions using shared IT platforms (e.g. Microsoft Teams)
- Coordinate all aspects of business travel, including bookings, cost comparisons, and urgent support for travellers
- Liaise with travel providers and contribute to reviews of alternative suppliers
- Act as a point of contact for insurance matters and support the processing of claims
- Support ad hoc projects as required by the senior management team
- Provide administrative support to site services functions when required
- Occasionally work outside standard office hours to support business needs
Skills & Experience Required
- Proven experience in an Executive Assistant or senior administrative role
- Strong organisational skills with excellent attention to detail
- Ability to manage multiple priorities and stakeholders effectively
- Confident communicator with strong written and verbal skills
- Able to work independently under pressure and meet tight deadlines
- A collaborative team player with a proactive approach
- Highly proficient in Microsoft Office, particularly Word, Excel, and PowerPoint
