As a fast-paced and growing organisation, we are seeking a highly organised, motivated and detail-oriented Service Delivery Executive to support mobilisation and delivery across our expanding portfolio of NHS contracts.
Role Summary
The Service Delivery Executive is a key operational role supporting high-volume NHS insourcing contracts across outpatient, diagnostic and elective surgical services. The postholder will work across multiple services at pace, ensuring mobilisation is efficient, staffing is resilient, and services are delivered safely, compliantly and consistently against KPIs. This role requires strong attention to detail. Rota scheduling and workforce coordination directly impact patient outcomes, service efficiency, Trust confidence and financial performance. The role also plays a central part in recruitment and resourcing, building a sustainable workforce pipeline and converting candidates into ready-to-deploy staff alongside the Compliance Team.
Key Responsibilities
- Recruitment & Resourcing
- Workforce availability underpins service delivery. The postholder will proactively recruit and retain clinicians, identifying gaps early and recruiting ahead of demand.
- Sourcing clinicians via Outpatient Network’s CRM/database, LinkedIn, social media and referral pools.
- Building pipelines across multiple specialties to support contract growth, resilience and short-notice cover.
- Managing candidate relationships (primarily by phone), maintaining engagement throughout onboarding.
- Conducting pre-screening and suitability checks with the support of Outpatient Network’s Clinical and Nurse Leads.
- Coordinating onboarding/compliance by issuing instructions quickly and liaising with Compliance.
- Maintaining accurate records within CRM systems.
- Managing recruitment inbox queries to a high professional standard.
- Gathering service intelligence and service improvements.
- Recruitment experience is beneficial but not essential; confidence, drive and ownership are key.
- Methodical Rota Scheduling & Workforce Coordination (Multi-Service)
- The postholder will build and maintain accurate rotas across multiple services, ensuring safe staffing and correct skills mix across outpatient, diagnostic and surgical activity.
- Creating and maintaining accurate multi-service rotas.
- Ensuring staffing reflects contract requirements and appropriate workforce profiles.
- Completing pre-delivery checks (confirmation, compliance, briefings and reporting information, contingency).
- Ensuring booking details (rates, dates/times, site/service, pay rates, status) are recorded accurately in CRM.
- Issuing written confirmations for bookings and amendments.
- Managing rota change control with clear documentation and stakeholder communication.
- Working closely with Service Development Managers, Clinical and Operational Leads.
- Service Delivery Support, Performance & Operational Excellence
- The postholder supports delivery against activity plans, helping services run efficiently and reliably.
- Supporting services to achieve targets and protect delivery performance.
- Monitoring demand/capacity to improve rota utilisation and fill rates.
- Supporting cost-effective resourcing through awareness of pay structures and market rates.
- Participating in mobilisation calls to ensure workforce readiness prior to go-live.
- Supporting service communications, including weekly briefings ahead of weekend activity.
- Supporting accurate data capture and patient service outcomes.
- Supporting reduction in external reliance through internal recruitment.
- Stakeholder Management
- The postholder will communicate confidently with clinicians, internal leadership and NHS stakeholders.
- Supporting NHS planning discussions (activity forecasting, utilisation and service improvement).
- Liaising with clinical staff to ensure requirements and expectations are understood.
- Providing structured updates to managers/directors on risks, staffing and readiness.
Skills, Experience & Competencies
- Strong attention to detail and administrative accuracy.
- Highly organised, methodical approach to planning and scheduling.
- Ability to manage multiple workstreams and remain calm under pressure.
- Confident telephone communication and strong written communication.
- Ability to work independently and within a wider delivery team.
- Proficiency in Microsoft Office 365 (Excel, Word, Outlook, Teams).
- CRM experience (desirable but not essential).
- Recruitment/resourcing, rota coordination or healthcare operations experience.
- Understanding of NHS elective delivery pressures and models.
