Role Overview: We're looking for an organised and proactive HR Administrator to join our team on a 3‐month FTC, playing a key role in ensuring our HR and office operations run smoothly. In this role, you'll work closely with and provide essential support to our HR Associate, helping to maintain efficient administrative processes, accurate record‐keeping, and full compliance, particularly across right‐to‐work checks, onboarding, and new starter documentation. You'll also help shape a great employee experience by coordinating inductions, building positive relationships across the business, and assisting with internal engagement activities such as office socials and lunch‐and‐learn sessions.

Key Responsibilities:

  • General Administration: Carry out day‐to‐day HR administrative duties, including filing, document management, data handling, and maintaining accurate HR and office records.
  • Right‐to‐Work & Compliance Checks: Support HR Associate with all onboarding compliance processes, including right‐to‐work checks, contract preparation, reference collection, and ensuring documentation meets legal standards.
  • Employee Onboarding & Inductions: Assist HR Associate with the full induction process, preparing welcome materials, coordinating training schedules, and ensuring new starters have a positive introduction to the organisation.
  • Staff Relationships & Support: Build positive working relationships across all teams, acting as a friendly and approachable first point of contact for HR and office‐related queries.
  • Office Management: Support the Receptionist & HR Associate with the daily running of the office, ensuring the workspace is organised, well‐maintained, and operational needs are met in collaboration with the wider team.
  • Health & Safety Administration: Assist with the coordination of health & safety processes, including maintaining compliance records, supporting risk assessment updates, and communicating relevant information to staff.
  • Process & Systems Improvement: Take ownership of setting up, maintaining, and improving HR and administrative processes, systems, and workflows to support efficiency, alongside HR Associate.
  • Reception & Front‐of‐House Cover: Provide reception cover when required, including managing incoming calls, greeting visitors, supporting door access processes, and ensuring GDPR standards are followed.
  • Diary & Meeting Support: Assist with diary management, meeting scheduling, and providing occasional PA‐style organisational support to the Senior Leadership Team (SLT) and CEO.
  • Supplier & Stakeholder Liaison: Communicate professionally with suppliers, service providers, and internal stakeholders to support smooth office and HR operations.
  • Office Socials & Internal Engagement: Support the organisation of office socials, team events, lunch‐and‐learn sessions, and general internal engagement activities.
  • Ad‐Hoc Support to Leadership: Provide flexible administrative and organisational support to senior leaders as required, ensuring tasks are completed efficiently and with discretion.

Desirable Experience & Skills:

  • Previous experience in an HR Administrator, HR Assistant, or similar administrative role, ideally within a fast‐paced office environment.
  • Strong administrative and organisational skills, with the ability to manage multiple tasks and maintain accurate records.
  • Working knowledge of HR onboarding processes, including right‐to‐work checks, contracts, and employee documentation.
  • High attention to detail and a strong understanding of the importance of confidentiality and GDPR compliance.
  • Confident communicator with the ability to build positive working relationships across all levels of the business.
  • Proactive, reliable, and able to work closely with the HR Associate to support day‐to‐day HR operations.
  • Comfortable using HR systems, Microsoft Office (Outlook, Word, Excel), and digital filing systems.
  • Exposure to health & safety administration or compliance‐related tasks.
  • Experience coordinating inductions, training sessions, or internal engagement activities.
  • Previous involvement in office events, socials, or employee engagement initiatives.
  • An interest in HR operations and employee experience, with a desire to develop further within HR.
