We are looking for a Logistics Specialist to join our Rest of World Logistics team, based in London.
This role will have two key areas of ownership
inventory integrity and inbound operations across Oura’s international logistics network.
You will be responsible for ensuring that inventory movements across Oura’s systems and logistics partners are accurate and well controlled, owning critical weekly and month-end reconciliation processes, and driving discrepancies through to resolution.
We are looking for someone who has practical experience of inventory reconciliation in a multi-warehouse or multi-3PL environment and can bring proven processes, controls and best practices into Oura as our network continues to scale.
Alongside this, you will own the operational management and visibility of inbound shipments into our distribution centres, establishing clear KPIs and processes to ensure inventory is received accurately, on time and with full visibility of any exceptions.
A major focus of the role will be automation and continuous improvement .
We are actively working to reduce manual operational activities, automate reconciliation and improve system integrations.
This role will therefore not simply operate existing processes, but will be expected to challenge them, simplify them and help build more scalable, exception-based ways of working.
- What You’ll Do
- Inventory Integrity & Operational Controls
- Own inventory accuracy and reconciliation across Oura systems and multiple logistics partners and fulfilment locations.
- Support and coordinate cycle counts and physical inventory activities across our logistics network, with flexibility to travel to distribution centres as required.
- Manage daily, weekly and month-end controls to ensure inventory transactions are accurately reflected across Net Suite and 3PL systems.
- Own the end-to-end investigation and resolution of inventory discrepancies, including receipts, shipments, returns, adjustments, damages, overs and shortages.
- Review discrepancies between 3PL operational files and Oura systems and ensure issues are corrected at source.
- Monitor stock variances and negative inventory positions and drive timely resolution.
- Ensure inventory adjustments are appropriately investigated, documented and controlled.
- Support cycle counts and physical inventory counts across the logistics network.
- Identify recurring inventory issues, conduct root-cause analysis and implement preventative actions.
- Help establish consistent inventory controls and reconciliation standards across Oura’s growing 3PL network.
- Month-End Reconciliation & Finance Support
- Own the logistics inventory reconciliation process supporting month-end close across Oura’s international logistics network.
- Ensure required inventory reconciliations, supporting documentation and controls are completed accurately and within Finance timelines.
- Reconcile inventory across Oura systems and multiple 3PL locations, investigating differences and ensuring variances are resolved or appropriately explained.
- Work closely with Accounting and Finance to investigate and resolve outstanding inventory differences.
- Maintain clear documentation and audit trails supporting inventory balances and adjustments.
- Apply previous reconciliation experience and industry best practices to strengthen, standardise and simplify Oura’s month-end processes.
- Continuously improve the month-end reconciliation process, with a strong focus on reducing manual activities and increasing automation.
- Support inventory audit requirements and ensure processes remain appropriately controlled and audit-ready.
- Help develop scalable reconciliation controls capable of supporting additional warehouses, 3PLs and future network growth.
- Inbound Operations
- Own end-to-end operational visibility of inbound shipments into Oura’s distribution centres.
- Track inbound movements from manufacturing release and dispatch through transportation, delivery and final system receipt.
- Coordinate inbound shipment setup, including the required purchase orders and system transactions supporting movement into Oura distribution centres.
- Ensure ASNs, receipts and inventory movements are completed accurately and within agreed timelines.
- Maintain a clear view of all open, aged and delayed inbound shipments and proactively drive exceptions through to resolution.
- Coordinate with manufacturing partners, freight providers, 3PLs and internal teams to resolve quantity, serial number, documentation and receiving discrepancies.
- Establish and maintain clear inbound KPIs covering areas such as transit performance, receiving SLA, aged inbounds, receipt accuracy and exception resolution.
- Regularly review inbound performance with partners and drive corrective actions where performance falls below expectations.
- Identify risks to inventory availability caused by inbound delays or receiving issues and escalate them proactively.
- Automation & Process Optimisation
- Actively identify manual activities across inventory management, reconciliation and inbound operations that can be automated, simplified or eliminated.
- Partner with Systems, Net Suite, AI/Automation, 3PL and other internal teams to develop scalable solutions.
- Translate operational challenges into clear business requirements for systems and automation improvements.
- Support process mapping, testing, implementation and adoption of new tools and workflows.
- Develop exception-based controls and reporting that reduce reliance on manual file checking and reconciliation.
- Challenge existing processes and continuously look for opportunities to improve accuracy, speed, visibility and scalability.
- Maintain clear SOPs and process documentation as workflows evolve.
- Help move the organisation from manual operational management towards increasingly automated and exception-led logistics operations.
- Reporting & Performance Management
- Develop and maintain clear reporting for inventory accuracy, reconciliation status and inbound performance.
- Establish KPIs that clearly highlight operational performance, risks and exceptions.
- Ensure open issues have clear ownership, actions and resolution timelines.
- Analyse recurring issues and performance trends to identify opportunities for improvement.
- Provide clear and concise operational updates to Logistics leadership and cross-functional stakeholders.
Who You Are
3+ years of experience within logistics, supply chain, inventory management or a similar operational environment.
- Hands-on experience owning or supporting inventory reconciliation and month-end close processes in a logistics or inventory environment.
- Experience reconciling inventory across multiple warehouses, fulfilment centres or 3PL partners , with a strong understanding of how to investigate and resolve system-to-system and physical inventory variances.
- Able to bring established reconciliation controls, processes and best practices from previous experience and apply them within a growing international logistics network.
- Strong understanding of inventory movements, including receipts, shipments, transfers, returns, adjustments, damages and stock corrections.
- Comfortable analysing large operational datasets and investigating complex discrepancies through to root cause.
- Strong attention to detail while also being able to identify broader process and systemic issues.
- Highly organised and comfortable managing multiple operational priorities and deadlines, particularly during month-end close.
- Strong problem-solving skills with a focus on root cause and permanent resolution.
- Comfortable coordinating across 3PLs, freight providers, manufacturing partners, Finance, Accounting and internal stakeholders.
- Able to communicate operational issues clearly and drive actions through to completion.
- Naturally curious about systems, automation and how processes can be improved.
- Comfortable challenging existing ways of working and introducing more scalable and controlled solutions.
- Able to operate effectively in a fast-moving and evolving environment.
