At Our Future Health, we're looking for an Executive Assistant to join our team and provide high-impact support to our Chief Scientific Officer and members of our Executive Leadership Team. We're looking for someone who thrives in a fast-moving environment, anticipates needs before they arise, and builds strong relationships across the organisation. You'll be a trusted partner to senior leaders, helping them stay focused on delivering our ambitious mission while ensuring the smooth day-to-day running of executive operations.
Your duties will include:
- Providing proactive diary and inbox management for Executive Leadership Team members, ensuring priorities are managed effectively
- Drafting and responding to correspondence on behalf of executives where appropriate
- Preparing meeting papers, briefings, speaking notes and follow-up documentation
- Tracking actions arising from key meetings and supporting timely delivery of next steps
- Coordinating complex travel arrangements and managing associated expenses
- Acting as a key point of contact for executives, building strong relationships with internal and external stakeholders
- Supporting the planning and delivery of organisational events, leadership meetings and company-wide activities
- Working closely with the Governance team to support Board and committee activity as required
- Providing support to the wider Senior Leadership Team when needed
- Collaborating with the EA team to ensure seamless executive support across the organisation
- Supporting day-to-day office operations, including liaising with building management and suppliers
- Coordinating larger meetings and events, including venue management, logistics, catering and guest communications
- Handling sensitive organisational, governance, commercial and people-related information with absolute discretion and professionalism
Requirements:
- Experience supporting Directors or Executive-level leaders; experience supporting C-suite executives is highly desirable. Bonus points if you've worked in health research or a fast-paced scale up
- Strong proficiency in Microsoft Office and digital collaboration tools
- Experience organising large meetings, events and executive-level engagements
- Excellent stakeholder management skills, including handling confidential information appropriately
- Outstanding organisational, planning and time-management capabilities
- Confidence in making decisions independently and knowing when to elevate issues
- Highly proactive and forward-thinking, anticipating needs before they arise
- Collaborative and approachable, building trusted relationships across all levels of the organisation
- Calm, resilient and adaptable when priorities change
- Detail-oriented, with a commitment to delivering high-quality work
