Oulton Medical Centre is looking for an organised and friendly person to join our team. If your key skills are multitasking, remaining calm under pressure, exceptional customer service and you have a great sense of humour, we are waiting to hear from you!
Main duties of the job:
- Provide a warm, supportive, and safe welcome to all patients during the practice's core operating hours.
- Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition.
- Follow instructions from the Triaging GP to accommodate and support patients in their requests to the practice, in a timely manner to ensure patients are given appropriate care.
- Collect relevant health data from patients and pass to relevant health practitioner.
- Answer incoming phone calls, transferring calls or dealing with the caller's requests appropriately.
- Process patient requests for appointments.
- Initiate contact with and respond to requests from patients, team members and external agencies.
- Enter accurate read codes data on SystmOne when directed.
- Data entry of new and temporary registrations and relevant patient information as required.
- Input data into the patients' healthcare records as necessary.

Job responsibilities:
- The reception team provides a warm, supportive, and safe welcome to all patients during the practice's core operating hours.

- Data entry of new and temporary registrations and relevant patient information as required.

- Direct requests for information, e.g., SAR, insurance/solicitors letters and DVLA forms, to the administrative team.
- Manage all queries as necessary in an efficient manner.
- Carry out system searches as requested.
- Maintain a clean, tidy, effective working area at all times.
- Monitor and maintain the reception area and noticeboards.
- Support all clinical staff with general tasks as requested.
- Undertake all mandatory training.
- Attend a formal appraisal with their manager at least every 12 months.
- Contribute to public health campaigns (e.g., flu clinics) through advice or direct care.
Secondary responsibilities:
- Participate in practice audit as directed by the audit lead.
- Action incoming emails when necessary.
- Scan patient-related documentation and attach scanned documents to patients' healthcare records.
- Complete opening and closing procedures in accordance with the duty rota.
- Process requests for repeat medications as per practice protocol.
- Order and monitor stationery supplies.
- Reception staff may from time to time be called upon to chaperone during a patient examination.

- Educated to GCSE level or equivalent.
- Strong basic IT skills.
- Clear, polite and professional telephone manner.
