BA1‑Site Operations Assistant – Ottawa Festival Network

Desired Contract Length: 26 Weeks. Start Date: January 19, 2026. End Date: Initial term approved to the Province of Ontario’s current fiscal year end, March 27, 2026; additional weeks ending July 24, 2026 pending approval of Ottawa Festivals’ fiscal year (2026‑2027) JCP program annual agreement.

Work Schedule: Full Time – 4 business days (32 hours per week). Location: Hybrid – Virtual and Westboro office.

Job Summary

Reporting to and working under the direction of the Director of Operations and the Site Operations Manager, the Site Operations Assistant is responsible for assisting with festival operational issues, logistical needs, and office administration.

The Opportunity

  • Assisting with ordering on‑site supplies such as motorized vehicles, beverages, etc.
  • Reviewing the current Emergency Preparedness Plan and helping prepare it for the current festival year.
  • Working with the signage and graphics team to prepare the festival site for all necessary signage.
  • Retrieving and submitting PSPC Health and Safety documents as needed.
  • Assisting with setting up the on‑site administrative office, logistical and operational aspects of the festival site.
  • Handling vendor paperwork, contract review, collecting/applying payments in the vendor database.
  • Coordinating vendor logistics/setup and other logistical needs onsite as assigned.
  • Acting as liaison for food concessionaires, craft artisans, and vendors when needed.
  • Working closely with suppliers and sponsors to ensure that contractual obligations are being met.
  • Managing post‑festival payment tracking for the 2026 season.
  • Responding to phone and email inquiries about the festival and escalating to other staff when applicable.
  • Consistently providing knowledgeable, empathetic service to patrons via walk‑in, phone, email, or other forms of contact.

Skills and Qualifications Required

  • Strong organizational skills and the ability to prioritize; proven success in multi‑tasking in a high‑pressure environment.
  • Proven ability to think creatively and strategically.
  • Working knowledge of POS systems; advanced proficiency in MS Office and Google Apps.
  • Ability to work independently as well as within a team; excellent written and oral communication skills; French is an asset.

Additional Qualifications Required

  • Candidate eligibility for JCP is determined according to the following criteria:
    • An unemployed job seeker or those employed less than 20 hours per week.
    • A resident living in Ontario who is legally authorized to work in Canada.
    • Meet at least one of the following criteria:
      • Has an established Employment Insurance (EI) benefit period.
      • Previously established an EI benefit period that has ended within the previous 60 months.
      • Paid employee EI premiums (e.g., Box 18 on the T4) in at least 3 of the last 10 years while earning at least $2,000 in each of those years.
      • Received the Employment Insurance Emergency Response benefit (CERB) within the previous 60 months.
  • NOTE: Persons currently enrolled in full‑time academic studies are not eligible for consideration. Those who qualify to establish an Employment Insurance (EI) claim must do so prior to being considered for JCP participation.

Remuneration

$704 (gross) per week paid biweekly by the Province of Ontario (average hourly rate: $22.00 based on 4 days/32 hours).
