Otis is now seeking to recruit a Document Controller to take responsibility for the collation, distribution, and retrieval of contract documents for the Major Projects Installation team.
Day-to-day responsibilities include:
- Uploading and downloading of various documents and drawings via email and specific customer portals such as Asite, 4P, Aconex
- Checking that project document protocols are being followed correctly for all uploads
- Distribution of drawings and other documents internally
- Liaison with client and vendor document controllers to ensure quality standards are met
- Compilation and maintenance of project files
- Collation of the technical library throughout the life of the contracts
- Work with the quality manager to ensure that documents used are aligned with our documented processes
- Owning the design registers and maintaining their accuracy
- Completing Pre-Qualification Questionnaires and Certificates for Major Projects
- Creating and sending Site Fixing Folders
- Maintenance of Department SharePoint
- Other project administration tasks as needed
To be successful in this role you will have the following skills/experience:
- Strong administrative or archivist background
- Strong IT skills including MS Word, Excel (including using macros) and SharePoint
- Basic knowledge of RFI/EWN/NCE (Knowledge of contractual implications of document control)
- Knowledge of Electronic Document Systems (EDMS)
- Experience of Commercial document control portals such as Asite/4P/Aconex/eB/BC
- Excellent attention to detail
- Be highly flexible and adaptable to constantly changing requirements and priorities
- Able to follow Standard Work documentation precisely
- Able to commute as needed to construction sites in central London and infrequently across the country
