The position of Administrative and Financial officer based in London (Canada Water) involves comprehensive management of the administrative and financial aspects of OTHER SOLUTIONS.
OTHER SOLUTIONS is a dynamic and dedicated risk management company, supporting the aid and development sector, human rights and wildlife defenders for more than 15 years.
The ideal candidate should have a minimum of 5 years of experience in a similar role, with expertise in general accounting, client and supplier management, as well as budget creation and monitoring.
The manager will also be responsible for administrative follow-up, including managing absences, personnel onboarding and offboarding, and payroll management in collaboration with an outsourced firm. Proficiency in Excel is required, along with fluency in both French and English.
The role also entails supporting internal structuring, assisting in the standardization of processes, and proposing improvements to existing procedures.

Responsibilities
Accounting and Finance Monitoring:
- General Accounting: Monitoring bank accounts and business expenses, performing bank reconciliations.
- Client Accounting: Creating, sending, and tracking client invoices, processing payments, and following up on outstanding invoices.
- Supplier Accounting: Tracking invoices, managing expense reports, and making supplier payments.
- Operational Accounting: Creating, monitoring, and closing budgets (forecast, operational by project, etc.), and conducting annual activity reports.
- Managing billing disputes.
Administrative and HR Follow-up:
- Providing administrative support to operations and the development team in responding to tenders or client requests (notably assisting in budget construction).
- Ensuring personnel administration (onboarding, offboarding, absences) and payroll management in relation to the outsourced payroll firm.
- Monitoring partners and service providers.
- Managing inventory and ordering office supplies.
Support for Internal Structuring:
- Assisting in the standardization of processes.
- Proactively proposing the establishment or consolidation of internal procedures.
