We are seeking an Executive Assistant to provide administrative and diary support within a busy executive office, specifically to act as a trusted partner to several members of our Executive Management Committee (EMC). The role will be working alongside other experienced EAs, reporting directly into the EA to one of the Co-CEOs.
This is more than a traditional EA role—you will operate as a true extension of the Executives, responsible for ensuring their time, priorities, and workflow operate with maximum efficiency and strategic focus. You will act as the primary, professional "face" of the Executive, requiring exceptional judgment, strong business acumen, and the ability to operate with complete discretion in a dynamic, fast-paced global environment.
There is also the opportunity within this role for some other business partnering, for example event management support, social media support and internal communications support.
Key Responsibilities:- Strategic Time & Workflow Optimisation
- Calendar Mastery: Proactively manage complex, multi-time zone calendars, strategically building time for internal alignment, strategic thinking, and leadership duties.
- Proactive Planning: Anticipate needs several steps ahead, proactively adjusting commitments, and ensuring the Executives are fully prepared with all necessary materials before every engagement.
- Travel & Logistics: Seamlessly plan and execute complex domestic and international travel, including multi-city itineraries, logistics, and comprehensive expense reporting/compliance.
- Communication & Stakeholder Management
- Executive Representation: Act as the confident, professional, and primary point of contact for the Executives with internal teams and external partners.
- Correspondence: Draft, filter, and manage high-volume email and communication with exceptional clarity, adapting communication style to all levels of seniority.
- Meeting Management: Attend key meetings to document decisions, capture action items, and ensure timely follow-ups across the Executives’ organisations.
- Operational Partnership & Business Acumen
- Trusted Partnership: Operate with absolute discretion and confidentiality, quickly learning the Executives’ preferences, decision-making patterns, and communication style.
- Business Context: Understand the Executives’ key priorities, strategic initiatives, and the broader organizational ecosystem to make smart, informed decisions independently.
- Initiative: Identify bottlenecks, propose solutions, and take proactive initiatives to solve problems before they arise.
- 5+ years of progressive Personal or Executive Assistant experience.
- Proven success managing highly complex, fast-moving, global calendars and workflows.
- Experience operating in dynamic, high-growth, or high-performance environments.
- Ability to work in-office at least 3 days per week in London.
