We are seeking a highly strategic, operationally minded Executive Assistant to serve as a trusted partner to a member of our C‑Suite Executive Committee (ExCo). This is more than a traditional EA role—you will operate as a true extension of the Executive, responsible for ensuring their time, priorities, and workflow operate with maximum efficiency and strategic focus. You will act as the primary, professional "face" of the Executive, requiring exceptional judgment, strong business acumen, and the ability to operate with complete discretion in a dynamic, fast‑paced global environment.

Key Responsibilities

  • Strategic Time & Workflow Optimization
    • Calendar Mastery: Proactively manage complex, multi-time zone calendars, "living in the schedule" to strategically build time for internal alignment, strategic thinking, and leadership duties.
    • Proactive Planning: Anticipate needs several steps ahead, proactively adjusting commitments, and ensuring the Executive is fully prepared with all necessary materials (pre-reads, briefs, agendas) before every engagement.
    • Travel & Logistics: Seamlessly plan and execute complex domestic and international travel, including multi-city itineraries, logistics, and comprehensive expense reporting/compliance.
  • Communication & Stakeholder Management
    • Executive Representation: Act as the confident, professional, and primary point of contact for the Executive with internal teams (eg, Sales, Legal, Finance, HR) and external partners.
    • Correspondence: Draft, filter, and manage high-volume email and communication with exceptional clarity, adapting communication style to all levels of seniority.
    • Meeting Management: Attend key meetings to document decisions, capture action items, and ensure timely follow-ups across the Executive's organization.
  • Operational Partnership & Business Acumen
    • Trusted Partnership: Operate with absolute discretion and confidentiality, quickly learning the Executive's preferences, decision‑making patterns, and communication style.
    • Business Context: Understand the Executive's key priorities, strategic initiatives, and the broader organizational ecosystem to make smart, informed decisions independently.
    • Initiative: Identify bottlenecks, propose solutions, and take proactive initiatives to solve problems before they arise.

Essential Skills & Qualifications

  • 7+ years of progressive Executive Assistant experience, including direct support of a C‑suite or senior executive.
  • Proven success managing highly complex, fast-moving, global calendars and workflows.
  • Experience operating in dynamic, high‑growth, or high‑performance environments (Tech, SaaS, or Finance background preferred).
  • Ability to work in-office 3-5 days per week in London.

The Ideal Partner: Traits & Competencies

  • Proactive by Default: Anticipates needs, solves problems early, and rarely requires direct instruction.
  • Executive Presence: Acts with polish, confidence, and high emotional intelligence, serving as a professional ambassador.
  • Communication Excellence: Exceptional written and verbal communication skills, including strong note‑taking and documentation.
  • High Discretion: Demonstrates an exceptionally high level of judgment and maintains absolute confidentiality on sensitive matters.

Our benefits include:

  • Health & Wellness: Health care coverage designed for the mind and body.
  • Flexible Downtime: Generous time off helps keep you energized for your time on.
  • Continuous Learning: Access a wealth of resources to grow your career and learn valuable new skills.
  • Invest in Your Future: Secure your financial future through competitive pay, retirement planning, a continuing education program with a company-matched student loan contribution, and financial wellness programs.
  • Family Friendly Perks: It’s not just about you. OSTTRA has perks for your partners and little ones, too, with some best-in-class benefits for families.
