Parts Administrative Assistant

Osprey Engineering Solutions are hiring for a well-established and growing business within the heavy machinery and engineering sector.

They are looking to recruit a Parts Administrative Assistant.

This is an excellent opportunity for an organised and customer-focused individual who enjoys working in a fast-paced environment and providing first-class administrative support.

The Role

Working as part of a friendly and experienced team, you will play a key role in ensuring customers receive the correct parts quickly and efficiently.

The position combines administration, customer service, and supplier liaison, helping to keep the parts department operating smoothly.

Key Responsibilities

  • Preparing and issuing parts quotations.
  • Processing customer orders accurately and efficiently.
  • Chasing suppliers to ensure parts are delivered on time.
  • Raising invoices and ensuring all documentation is completed correctly.
  • Responding to customer enquiries via telephone and email.
  • Identifying and sourcing parts using internal systems and supplier catalogues.
  • Maintaining accurate records and updating internal databases.
  • Liaising with engineers, suppliers, and customers to provide updates on orders.
  • Supporting the wider parts team with day-to-day administrative duties.
  • The Ideal Candidate
  • Previous experience in a parts, service, administration, or customer support role.
  • Excellent organisational skills with strong attention to detail.
  • Confident communicator with a professional and friendly manner.
  • Good IT skills, including Microsoft Office and experience using business systems.
  • Able to prioritise workload and manage multiple tasks effectively.
  • Experience within the machinery, automotive, agricultural, construction, engineering, or plant sectors would be advantageous, but is not essential
